For the Warehouse Operations Specialist, customer satisfaction and success means every return handled cleanly, every dollar of manufacturer recovery claimed, and a keyed and configured kit out the door on the date the customer was promised. It is the discipline to process each return accurately the day it arrives, the persistence to see a vendor claim through to credit, and the versatility to cover the configuration bench and the shipping floor when the team needs it.
JOB OVERVIEW
The Warehouse Operations Specialist runs returns and vendor recovery for GoKeyless Care. Reporting to the Warehouse Operations Manager, this seat receives, inspects, dispositions, and restocks authorized returns, and drives vendor return claims through to credit so that manufacturer recovery is claimed rather than left on the table.
The seat is also the trained backup for bench configuration. Taking task direction from the Product Configuration Specialist, the Warehouse Operations Specialist covers keying, coding, and lock configuration during absence and peak volume so Configured Sale ship dates and project kit readiness hold. That means pinning and keying to the keying schedule, cutting and coding keys, and programming locks to the order spec, including user codes, access schedules, and lock settings. Coverage is certified on the Care technical competency model within ninety days of hire and held at the defined floor thereafter. Software, system, and back-end setup remains with the Product Configuration Specialist and is outside this seat.
Third, the seat is cross-trained on warehouse fulfillment, picking, packing, shipping, receiving, and cycle counts, and steps in for the Warehouse Specialist during absence and peak volume. The two seats are peers under the Warehouse Operations Manager.
This is an operations and bench execution role, not a general support or installation role. The Warehouse Operations Specialist does not work the general support queue, schedule installs, or authorize returns and warranty claims. The seat exists to process returns and vendor claims accurately, cover the configuration bench, and keep inventory the team can trust.
KEY RESPONSIBILITIES
Run Returns Processing
  • Receive, inspect, and restock authorized customer returns and replacement parts on the day they arrive.
  • Disposition each return, restock, scrap, warranty, or deny, within the returns approval matrix, and escalate above threshold to the Warehouse Operations Manager.
  • Document return condition and defect evidence with precision. Manufacturer and vendor recovery depends on clean records.
  • Log every return and status change in NetSuite as the system of record, same day.
  • Route customer questions, timing expectations, and commercial decisions to the Customer Care Manager, who owns the case.

Own Defective Claims Start to Finish
  • Own the defective claim process from start to finish: confirm eligibility, submit the vendor claim, carry it to a decision, and see the credit through to Accounts Payable.
  • Report open claim status to the Warehouse Operations Manager weekly, with aged and denied claims flagged for escalation.

Cover Keying, Coding, and Lock Configuration
  • Pin and key to the keying schedule, and cut and code keys to the order spec.
  • Configure and program locks to the order spec, including user codes, access schedules, and lock settings.
  • Cover this work during absence and peak volume so Configured Sale ship dates and project kit readiness hold.
  • Submit completed work for validation against the order spec before handoff. Never sign off your own work as validated.
  • Escalate a spec question to the Product Configuration Specialist rather than interpreting it at the bench.
  • Certify on the Care technical competency model within ninety days of hire and hold proficiency at the defined floor.

Cover Warehouse Fulfillment
  • Cross-train on Warehouse Specialist duties, receiving and pick, pack, ship, and step in during absence and peak volume.
  • Support outbound pack quality to reduce fulfillment errors and the returns they generate.
  • Stage and kit material under the direction of the Product Configuration Specialist, against confirmed need dates.

Support Inventory Accuracy
  • Perform weekly cycle counts to the Warehouse Operations Manager's inventory standard and assigned zones.
  • Keep restocked returns reflected accurately in NetSuite so on-hand data can be trusted for buying decisions.
  • Flag count variances to the Warehouse Operations Manager.

Follow Process and Drive Continuous Improvement
  • Follow the returns, recovery, keying and configuration, fulfillment, and inventory standard operating procedures consistently, and surface gaps for improvement.
  • Use Claude and other approved tools to speed documentation, lookups, and routine processing.

SCORECARD / KPIS
Returns and Vendor Recovery
  • Defective receipt to VRMA creation: Time from physical receipt of a defective return to the vendor return authorization created.
  • Vendor claim capture rate: Percent of eligible defective returns with a vendor claim submitted.

Keying and Configuration Coverage
  • Configuration accuracy: Percent of keyed, coded, and programmed work passing validation against the order spec on the first pass.
  • Configured Sales readiness: Percent of Configured Sales complete, configured, and released on the committed ship date while covering.

Fulfillment Coverage
  • Coverage throughput: Orders picked and shipped to standard when covering the fulfillment lane.

QUALIFICATIONS
Must-Haves
  • Strong attention to detail and accuracy in transactional, record-driven work.
  • Warehouse experience: receiving, picking, packing, and shipping.
  • Mechanical aptitude plus technical comfort with device programming, sufficient to certify on keying, coding, and lock configuration within ninety days.
  • Enterprise resource planning experience, NetSuite strongly preferred. The role runs in NetSuite.
  • Persistence in following an open item through to resolution with an outside party.
  • Process discipline: a reliable procedure follower.
  • Independent, self-directed executor.
  • Coachable and growth-oriented, willing to cross-train and be formally assessed on it.
  • Artificial intelligence fluency: hands-on use of tools like Claude to speed documentation, lookups, and routine work.
  • Able to lift and move product to the physical requirements of the warehouse.
