Inventory Control Specialist

Department: Distribution Center

Location: Benbrook, TX

Reports To: Supervisor, Inventory Control


Position Summary

The Inventory Control Specialist is responsible for executing daily cycle counting operations, investigating inventory discrepancies, and maintaining accurate inventory records in Microsoft Business Central. This role works closely with the Inventory Control Supervisor and Accounting department to ensure inventory accuracy, resolve variances, and support the financial integrity of the Distribution Center's inventory.


The ideal candidate is detail-oriented, has experience with cycle counting and ERP systems, and can work independently to research and resolve inventory accuracy issues while collaborating cross-functionally with warehouse operations and accounting teams.


Key Responsibilities


Cycle Counting & Physical Inventory
  • Conduct daily cycle counts using Business Central and Insight Works Warehouse Insights scanning system.
  • Execute assigned cycle count schedules
  • Perform recounts when variances are identified to verify accuracy before adjustment.
  • Complete bin audits to verify physical location accuracy matches system records.
  • Document all count results, variances, and findings in Business Central with detailed notes.


Inventory Variance Investigation
  • Research and investigate root causes of inventory discrepancies by reviewing transaction history, receiving records, pick/pack logs, and warehouse movements in Business Central.
  • Interview warehouse staff and review security footage when necessary to determine the source of variances.
  • Identify patterns and trends in inventory accuracy issues and report findings to the Inventory Control Supervisor.
  • Collaborate with Receiving, Putaway, Picking, and Returns teams to resolve systemic process gaps contributing to inaccuracies.
  • Track and document recurring accuracy issues by location, SKU, or process for continuous improvement initiatives.


Inventory Adjustments & System Maintenance
  • Identify required inventory adjustments in Business Central with supporting documentation and root-cause analysis.
  • Work with Accounting to review proposed adjustments, obtain necessary approvals, and ensure compliance with financial controls.
  • Execute approved inventory adjustments in Business Central following established SOPs and audit requirements.
  • Maintain detailed records of all adjustments including justification, approval documentation, and supporting evidence.
  • Update bin locations, item tracking, and warehouse setup data in Business Central to maintain system accuracy.


Process Compliance & Data Integrity
  • Follow established SOPs for cycle counting, variance investigation, and inventory adjustments.
  • Ensure all inventory transactions in Business Central are completed accurately with proper documentation.
  • Monitor Insight Works scanning exceptions and data quality issues, escalating problems to IT or the Inventory Control Supervisor.
  • Maintain organized records and audit trails for all inventory control activities.
  • Support internal and external audits by providing requested documentation and inventory verification.


Qualifications


Required
  • 3-5 years of inventory control, cycle counting, or warehouse operations experience.
  • Working knowledge of Microsoft Business Central, NAV, or similar ERP systems).
  • Experience conducting cycle counts and investigating inventory variances in a warehouse or distribution center.
  • Proficiency with hand-held RF scanners and warehouse management systems.
  • Strong attention to detail with ability to maintain high accuracy in a large-SKU environment.
  • Intermediate Excel skills including data analysis, filtering, and basic formulas.
  • Excellent written and verbal communication skills for cross-functional collaboration.
  • Ability to work independently, prioritize tasks, and meet deadlines.


Preferred
  • Familiarity with Insight Works Warehouse Insights or similar WMS add-ons.
  • Experience in retail, ecommerce, or consumer goods distribution.
  • Advanced Excel skills including pivot tables, v-lookups, and variance analysis.
  • Understanding of ABC classification and cycle counting best practices.
  • Knowledge of inventory accounting principles and financial controls.
