Description:

SUMMARY

Responsible for the overall success and daily operations of the branch to include inside sales and warehouse operations. This position reports to the VP Sales & Operations and serves as a manager for all Inside Sales and Operations employees in the branch as well as Profit & Loss oversight. Collaborate with Sales Leadership to achieve desired growth plans.


ESSENTIAL DUTIES AND RESPONSIBILITIES (Other duties may be assigned)


Operations Duties:

  • Inspects warehouse facilities and equipment and recommends changes in allocation of space and procedures to supervisor.
  • Plans pickup and delivery schedules for truck drivers.
  • Recruits, hires, promotes, trains, and evaluates branch operations personnel; listens to employees and creates a positive working atmosphere in the branch; takes disciplinary action when necessary.
  • Monitors branch inventory levels for all product lines; coordinates with sales personnel and purchasing support staff.
  • Answers inquiries on types of service offered, schedules, and areas serviced.
  • Investigates customers’ complaints involving such matters as damaged items, and customer deliveries and transfer shipments.
  • Oversees the shipment of all outbound freight to ensure accuracy and sound loading practices for customer deliveries and transfer shipments.
  • Directs and oversees the receiving of all inbound freight to ensure accuracy and proper placement of product; creates receiving Advanced Shipping Notifications, enters information into the computer.
  • Files receiving paperwork.
  • Performs receiving, verifying, and checking delivered material and restocking.
  • Picking orders, palletizing orders, staging orders, loading trucks, unloading trucks, operating sit down and standup forklifts.
  • Uses automated WMS RF scanning device.
  • Prepares UPS and LTL shipments, entering shipping information into World Ship and Cerasis programs.
  • Conducts monthly inventory cycle counts and researches inventory variances for explanations.
  • Makes inventory adjustments to reflect accuracy of inventory.
  • Provides regular input to Purchasing regarding product needs, forecasts, and new item request.
  • Responsible for cash and expense management for branch business activities in accordance with NBH business practices.
  • Monitors accurate record of hours worked by all operations personnel, including sick time and vacation days, and approves all time in accordance with payroll system. reports to appropriate Lynchburg staff member.
  • Maintains and promotes a clean, neat, and safe workplace.
  • Maintains truck/driver related reports, forms, or requirements necessary to comply with state and federal DOT regulations.
  • Maintains accurate warehouse/driver safety programs and records.
  • Purchases local miscellaneous items for warehouse use, as needed, in accordance with established budgetary considerations.
  • Conducts monthly safety warehouse meetings covering issued safety topics and to communicate company policies and procedures to all warehouse and driver personnel; meetings should include product orientation, news, and discussion of employee concerns and/or ideas.
  • Develops and maintains damage/scrap inventory list and inventory for warehouse use and report to appropriate staff monthly.
  • Responsible for all budgets and reporting for branch performance for finance, operations, purchasing, Human Resources.
  • Develops and manages controllable expense budget.
  • Establishes staffing schedules.
  • Coordinates inter-company transfers.
  • Oversees warehouse safety policy and procedures.
  • Responsible for selection, training development, motivation, review and control of warehouse employees to assure continuity of efficient operations.
  • Ensures proper resolution to product life cycle procedures.


Inside Sales Duties:

  • Oversees quotations for projects and material requests noting details of the job and all appropriate charges with authority to adjust and or deviate from standard pricing parameters.
  • Regularly designated by Sales Manager, serves as branch contact for problem solving or special liaison for strategic key customers and contractors for special customer service needs orders and requesting on potential or pending orders.
  • Monitors incoming calls into the office for prompt answering as appropriate.
  • Fills in for other ISR’s in their absence for critical need sales support.
  • Assists and oversees other ISR’s in working with product managers for advanced sales support (pricing issues) for customers.
  • Ensures consistent call schedule for branch is executed.
  • Directs ISR’s prospecting for new accounts to determine sales opportunities.
  • Maintains overall general knowledgeable of Account Manager territories and customers.
  • Coordinates and participates in follow up for disposal (in pricing and sale) of obsolete and damaged inventory and new product introduction at the direction of the VP.
  • Responsible for branch cash drawer review and accuracy as well as branch deposits are being made per schedule.


Leadership Duties:

  • Actively involved in human resources, staffing and training functions to include monitoring work hours (including tardiness, OT and leave hours), productivity and work habits, timely incoming call answering, completion of outbound call list, order entry accuracy, training of new employees and/or systems; elevate any unresolved issues or repeating issues to the VP. Supporting the VP acts to ensure branch ISR team consistently achieves NBH customer experience qualities and employee conduct expectations.
  • Recommends and participates with VP in corrective action meetings with employees, up to and including termination, to improve employee and branch performance.
  • Conducts Inside Sales Representative job search process and candidate interviews to develop a hiring recommendation with VP.
  • Creates and facilitate a team atmosphere with HVAC and Roofing personnel.
  • Provides daily, weekly, and monthly inspection and distribution of transaction reports such as: Invoice Register, Order Exception Report, Aging Report, Open Purchase Orders, DNR Report, Open Directs, etc.
  • Briefed by VP for monthly review of Branch Report Card; understand all metrics and research/counsel as appropriate to improve branch performance and profitability.
  • Meets regularly with VP to review branch team dynamics, outstanding issues, customer service posture, customer issues or opportunities, review P&L, P2 performance, sales budget progress and SEP metrics, and scheduling branch meetings.
  • Identifies and determines resolution with Operations of customer/delivery conflict issues.
  • In absence of VP serves as contact for corporate departments such as Accounting, Credit, etc. for advanced problem solving of branch and serve as the local contact for unscheduled vendor visits.
  • Ensures sales workstations, warehouse, and surrounding areas are organized and counter area is clean, uncluttered, literature up-to-date and stocked; inspect work areas, counter/showroom, conference room, break room monthly; inspects warehouse daily; serve as primary contact for branch services.


SUPERVISORY RESPONSIBILITIES

Required to manage employees in Inside Sales and Operations. This position is responsible for the overall directions, coordination, and evaluation of these units. Will carry out supervisory responsibilities in accordance with the organization’s policies and applicable laws. Responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.


EDUCATION & EXPERIENCE

Bachelor’s degree from four-year college or university; or 3-5 years related experience and/or training; or equivalent combination of education and experience is required.

PHYSICAL DEMANDS

Work involves standing and walking for brief periods of time, ability to lift up to 50 pounds and office duties performed from a seated position. There is potential for eye strain from reading detailed materials and looking at a computer screen. Work normally requires finger dexterity and eye-hand coordination to operate computer keyboards at a moderate skill level. The employee frequently is required to talk or hear.


WORK ENVIRONMENT

The noise level in the work environment is usually quiet in the office area. The noise level in the warehouse is usually moderate. The warehouse space is not climate controlled.
