Job description

Warehouse Data Entry & Inventory Clerk

POSITION PURPOSE

The Warehouse Data Entry & Inventory Clerk supports daily warehouse and inventory operations with a primary focus on accurate data entry, inventory tracking, receiving and shipping documentation, record maintenance, and administrative support.

This position is responsible for entering, updating, and verifying warehouse and inventory information in company systems, reviewing shipping and receiving documents for accuracy, maintaining organized electronic and physical records, and assisting with inventory reconciliation. The employee will also provide hands-on warehouse support as needed, including receiving, staging, organizing, packaging, and moving materials.

The ideal candidate is detail-oriented, organized, comfortable working with computers and inventory records, and able to accurately process a high volume of information while supporting warehouse operations.

DATA ENTRY, INVENTORY & DOCUMENTATION

  • Enter receiving, shipping, inventory, and material movement information into company databases, spreadsheets, inventory systems, and tracking tools.
  • Maintain accurate and up-to-date inventory records for materials, equipment, supplies, and warehouse stock.
  • Review packing slips, purchase orders, shipping documents, inventory reports, and other records for accuracy and completeness.
  • Verify quantities, part numbers, descriptions, serial numbers, and other material information against physical inventory and supporting documentation.
  • Update inventory records when materials are received, transferred, staged, issued, returned, or shipped.
  • Perform routine data entry while maintaining a high level of accuracy and attention to detail.
  • Assist with inventory counts, cycle counts, audits, and periodic inventory reconciliations.
  • Research and help resolve discrepancies between physical inventory and electronic inventory records.
  • Maintain organized electronic and physical filing systems for receiving, shipping, inventory, and warehouse documentation.
  • Prepare and update spreadsheets, inventory reports, tracking logs, and other warehouse records.
  • Scan, upload, file, and organize shipping documents, packing slips, receipts, inventory forms, and related records.
  • Assist warehouse management with generating reports and identifying missing, incomplete, or inaccurate inventory information.
  • Communicate inventory discrepancies, damaged materials, missing shipments, incorrect quantities, and documentation issues to warehouse management.
  • Assist with tracking material locations to ensure inventory can be quickly identified and retrieved.
  • Maintain accurate records of materials moving between warehouse locations, staging areas, and job sites.
  • Support office and warehouse consumable inventory tracking, stocking, and replenishment.
  • Perform general administrative and clerical duties related to warehouse and inventory operations.

WAREHOUSE & SHIPPING/RECEIVING SUPPORT

  • Assist with receiving, inspecting, documenting, and storing incoming materials and equipment.
  • Match incoming materials against packing slips and shipping documentation before information is entered into inventory systems.
  • Assist with organizing, labeling, and maintaining warehouse storage locations.
  • Support material kitting by gathering, documenting, and preparing materials for projects or shipments.
  • Prepare shipping labels, packing documentation, and other required shipment records.
  • Package, label, and prepare materials and equipment for shipment in accordance with company procedures.
  • Assist with staging incoming and outgoing materials.
  • Help load and unload trucks when warehouse support is required.
  • Support movement of materials between warehouse locations, job sites, and staging areas.
  • Maintain a clean, organized, and safe warehouse, office, and inventory environment.
  • Perform additional warehouse, administrative, and inventory duties as assigned.

REQUIRED SKILLS & QUALIFICATIONS

  • Strong data entry skills with a high degree of accuracy and attention to detail.
  • Comfortable working with computers, spreadsheets, databases, and electronic inventory records.
  • Ability to enter and verify large amounts of inventory and warehouse information accurately.
  • Basic proficiency with Microsoft Excel, Word, Outlook, and similar office applications.
  • Ability to review documents and identify discrepancies in quantities, part numbers, descriptions, and other inventory information.
  • Strong organizational and recordkeeping skills.
  • Ability to maintain electronic and physical filing systems.
  • Effective written and verbal communication skills.
  • Ability to prioritize tasks and work independently while supporting warehouse personnel and management.
  • Ability to perform basic warehouse and material-handling duties when needed.
  • Previous experience with data entry, inventory control, shipping/receiving, warehouse administration, logistics, or material tracking is preferred.

SAFETY

  • Follow all applicable company, customer, federal, state, and local safety requirements.
  • Operate warehouse equipment and material-handling devices only when properly trained and authorized.

  • Cooperate with safety personnel, supervisors, managers, and investigators to ensure proper procedures are followed.
  • Identify and report safety violations, unsafe conditions, damaged equipment, or other hazards to appropriate personnel.
  • Use required personal protective equipment when working within warehouse or material-handling areas.

DRIVING

  • Operate company vehicles in accordance with applicable laws, regulations, and company policies when required.
  • Operate vehicles safely and courteously.
  • Maintain assigned vehicles in a clean and orderly condition.
  • Report vehicle maintenance requirements, damage, or safety concerns in a timely manner.

WORK ENVIRONMENT

This position works in a combination of office and warehouse environments. A significant portion of the position may involve computer-based data entry, inventory documentation, spreadsheet maintenance, recordkeeping, and administrative support.

The office environment includes typical office conditions such as computers, phones, conversations, overhead announcements, and shared workspaces.

When working in the warehouse, all required safety procedures and personal protective equipment must be followed. Warehouse temperatures may fluctuate depending on weather conditions. The employee may occasionally be required to stand, walk, bend, lift, move materials, organize inventory, assist with incoming or outgoing shipments, and perform other physical warehouse duties.
