The Park Board of Trustees in Galveston, TX is looking to hire a detail-oriented Office Coordinator. This is a full-time, benefits eligible position regularly scheduled for 32 hours per week. ABOUT VISIT GALVESTON AND THE PARK BOARD OF TRUSTEES
In 1963, the citizens of Galveston voted to create a specialized unit of government called the Park Board of Trustees of the City of Galveston. The organization is responsible for overseeing Galveston's tourism efforts, Galveston Island Beach Patrol (GIPB) and Coastal Zone Management (CZM). The Park Board is funded primarily through Hotel Occupancy Tax (HOT) and beach user fees for the parks that they manage. Tourism pays for tourism as no sales or property tax is collected by the Park Board. The nine-member board is comprised of volunteer residents with diverse business backgrounds. Each is required to serve at least two years and must also serve on one of the Park Board's advisory committees.

A DAY IN THE LIFE OF AN OFFICE COORDINATOR
In this business administration position, you play a key role in providing support to our departments. You perform a variety of clerical tasks, including drafting letters, memos, invoices, reports, and other documents. Using your excellent organizational skills, you help schedule events such as meetings, travel, training, and activities for all members of the departments. For meetings, you help create agendas as well as create and develop visuals and presentations.
In addition, you are responsible for accounting functions, including requesting quotes, creating purchase requisitions, processing invoices, and generating budget reports. You help with inventory control and ordering supplies as well as identify opportunities for cost savings. Through communication with payroll, you maintain timekeeping records for your department and reconcile any leave benefit requests.
You maintain and update paper and electronic filing systems within your department. When appropriate, you give recommendations for and implement policy or process changes. You maintain standard operating procedures (SOPs) and update them as needed. As necessary, you complete assigned special projects and maintain a working knowledge of all administrative and department-specific software. QUALIFICATIONS FOR AN OFFICE COORDINATOR
  • High school diploma or equivalent
  • 3+ years of experience in administrative services
  • Certified Tourism Ambassador (CTA) certification or ability to become certified (CTA training provided by the Galveston Island Park Board of Trustees upon hire)
  • Holds a valid class C driver's license
  • Experience with accounting and payroll software
  • Proficiency with Microsoft Office, including Word, Excel, and PowerPoint
  • Strong customer service skills
  • Excellent computer skills

A bachelor's degree in business administration is preferred. Previous leadership or management experience would be a plus. Do you have excellent verbal and written communication skills? WORK SCHEDULE
