Position Title: Volunteer Resources Manager

Department: Volunteer Resourcesย 

Grade Range/Job Status: Full Time / Exempt-Salaried (40 hours per week)

Reporting Relationship: Director of Volunteer Resources

Supervisory Responsibilities: NA

Typical Schedule: Primarily M-F Days. Must occasionally be willing and able to work flexible hours/days, including evenings and weekends, reflective of the dynamic schedule of theย organization.

Position Summary

The Volunteer Resources Manager plays a crucial role in our organization by recruiting, interviewing, vetting, training, onboarding, and recognizing volunteers who contribute to our mission. This position requires excellent communication and interpersonal skills, organization, and a passion for making a positive impact on the individuals we support. ย All employees are expected to model and champion Hammer & NERโ€™s core values: Person-Centered, Relational, Opportunistic and Stewardship to provide people with intellectual and other disabilities, the opportunity to live life to its fullest.

Primary Duties and Responsibilities

ย 

  1. Volunteer Recruitment and Marketing
  • In collaboration with the Director of Volunteer Resources implement comprehensive volunteer recruitment & engagement strategies to increase organizational volunteerism & commitment.
  • Develop, implement, sustain & expand a consistent, skill specific & comprehensive volunteer marketing & recruitment strategy to meet organizational & volunteer needs; includes multiple communication modalities (social, media, print, email, online, text, video, booth & referrals).
  • Implement volunteer placement strategies that help to attract a diverse pool of potential volunteers for Hammer & NER.
  • Identify, develop & cultivate existing & new partnerships with civic, corporate, educational & individual partners to increase volunteerism & expand volunteer opportunities/impact; includes individual, group and skills-based volunteerism.
  • Collaborate with organizational departments to identify volunteer needs and recruit potential volunteers that fit that need.
  • Create a pipeline of volunteer referrals through consistent, positive & quality volunteer experiences.

  1. Volunteer Onboarding and Training
  • Ensure all volunteers have successful & positive on-boarding experiences, know how to complete their assigned work and have positive volunteer experiences.
  • Utilize the online orientation for volunteers and track completion.
  • Determine and assign additional training for volunteers based on their positions.
  • Create and maintain volunteer training materials and resources as necessary.
  • Cultivate & foster effective methods of communication to increase volunteer impact for the organization and to increase volunteer satisfaction/experiences.
  • Provide robust learning and impact-oriented experience to all volunteers; coach and support them in their development.
  • Train staff on how to work with volunteers effectively and efficiently; build capacity of staff to work with volunteers.

  1. Volunteer Supervision
  • Supervise, lead, coach and provide support to volunteers to ensure a productive and positive experience.
  • Assign tasks and responsibilities to volunteers based on their skill level and interests.
  • Conduct performance evaluations for volunteers providing constructive feedback.
  1. Volunteer Engagement and Recognition
  • Plan and organize volunteer appreciation events, recognition programs, and awards.
  • Maintain regular communication with volunteers to foster a sense of belonging and commitment.
  • Acknowledge, recognize, celebrate, and promote staff & volunteer impact.
  • Implement volunteer recognition programming.

  1. Program Management & Impact
  • Using Volgistics database ensure all volunteer records, activities, hours & other pertinent data are tracked accurately.
  • Design and generate reports to analyze volunteer contributions and impact.
  • Ensure that volunteers adhere to organizational policies, safety procedures, and relevant regulations.
  • Stay current with laws and regulations affecting volunteer engagement.
  • Collect feedback from volunteers and staff to continuously improve the volunteer program.
  • Conduct performance evaluations for volunteers providing constructive feedback.
  • In collaboration with the Director of Volunteer Resources annually updates/maintains print & online volunteer program materials & reporting mechanisms; includes recruitment materials, job descriptions, policies & procedures manual, training information, reports, volunteer documents such as application, policy and procedure handbook, orientation checklist, budget, etc.
  • Collect feedback from volunteers and staff to continuously improve the volunteer program.
  • Work closely with other departments to integrate volunteers into various projects and programs.
  • Build relationships with community partners and organizations to expand volunteer opportunities.

Essential Knowledge and Qualifications

  • Intermediate volunteer management experience required working for a mid-sized organization.ย  Formal, informal, and cross-disciplinary experiences will be considered.
  • Proficiency with Microsoft Office Products (Word, PowerPoint, Excel) preferred.
  • Experience working with a volunteer database management system. Experience working with Volgistics preferred.
  • Experience recruiting, coaching, and supervising volunteers required.
  • Requires a valid driverโ€™s license, access to a personal auto and willingness to drive as needed to both our east and west metro offices as needed.
  • Must possess the capacity to multi-task, creatively problem solve, and possess excellent interpersonal communication skills.
  • Demonstrated effective interpersonal communication skills in oral and written formats with individuals or group level.
  • Ability to work independently with minimal direction.
  • Knowledge of best practice in volunteer management is preferred.
  • Ability to stand, stoop, bend walk and lift 35 lbs. periodically throughout a shift preferred.
  • Must be able to sit at a computer and work for long periods of time.
  • Experience, ability, and commitment to working with individuals and teams that are mixed across lines of difference such as race, gender-identity, sexual orientation, religion, ability, age, class, and immigrant status.
  • Must be willing and able to work flexible hours/days, including occasional evenings and weekends, reflective of the dynamic schedule of the organization.
