Job description

About The Role:

This position reports to the Team Lead, Volunteer Services, and is accountable for providing outstanding communication and support to the day-to-day co-ordination and administration of volunteers and the volunteer program at assigned Bethany sites.

What You Will Do:

Service Excellence:

  • Promotes service excellence and supports residents' care through the provision of quality and responsive volunteer services.

  • Promotes active interaction of volunteers with other departments and employees to ensure that volunteers are aware of and meet employee and resident expectations. Whilst ensuring that employees are aware of their role in supporting volunteers.

  • Liaises with volunteers and reports problems and issues directly to Site Administrator/Volunteer Services Team Lead.

  • Completes files on all volunteers and ensures files contain orientation checklist and all mandatory documentation. Ensuring all education sessions are completed and documented.

  • Maintains files, including a current volunteer telephone, mailing and email list.

  • Ensures that volunteers record hours on Volunteer Management Software and submits quarterly reports, recording and reporting relevant statistics to the Site Administrator/Volunteer Services Team Lead.

  • Ensures accurate information on volunteer files/database, and maintains secure storage of confidential information/files.


Leadership:

  • Enables a high performing volunteer culture through recruiting, developing and supporting volunteers.

  • Assesses needs for volunteers and plans accordingly. In collaboration with volunteer services team develops position descriptions. Assess the need for volunteers, recruit, onboard and schedule as available or needed.

  • Ensures volunteers comply with all policies, procedures, and standards of conduct of the organization and the volunteer program.

  • Identifies volunteer education needs, plans and implements training programs for volunteers in collaboration with the Volunteer Services Team.

  • Liaises with contacts in other organizations and agencies to increase awareness and exposure of the volunteer program and volunteer opportunities. This may involve attendance at community meetings and greater community volunteer recruitment events.


What You Bring:

  • Post-Secondary Degree/Diploma in volunteer program administration, human resources management or related field.

  • Experience in a supervisory role.

  • Minimum of two (2) years coordinating volunteer programs.

  • Experience as a volunteer preferred.

  • An equivalent combination of education and experience may be considered.

  • Knowledge of dementia and long-term care settings an asset.

  • Excellent observation, communication and problem-solving skills. #INDB
