JOB DESCRIPTION: Theater Ops Manager
Position Type: Part Time Hourly (up to 20 hours weekly)

General Expectations: This is a part-time position, designated at up to 20 hours per week with flexible scheduling. The role is primarily remote, with occasional in-person meetings or events as needed. Work hours will be coordinated with the Operations team and direct supervisor to support organizational needs. Any hours beyond 20 per week must be pre-approved by the Executive Director and will be compensated in accordance with applicable wage and hour laws. We recognize that employees may hold additional professional commitments; any potential conflicts of interest should be communicated to the supervisor as early as possible
Compensation:
$27.00/hr
Benefits: This is a part-time position during Outfest's reconstruction phase. As such, no traditional benefits (such as health insurance or paid time off) are currently offered.
Roles and Responsibilities
Position Summary: The Theater Operations Manager prepares and implements logistical operation plans for all venues at Outfest NEXT (July 23 - 26, 2026). This role oversees theater operations protocols, including line management, staffing, customer service, accessibility, and event flow, ensuring a consistent and high-quality patron experience across venues. The Theater Operations Manager serves as a central liaison across departments, synthesizing information and empowering Theater Assistants and volunteers with the tools and training needed to deliver smooth and safe screenings. This position is remote-hybrid, with in-person staff meetings and full on-site presence required during the event dates.
Screening and Event Flow
  • Ensure screenings start on time and flow smoothly, including ticket/pass scanning, ballot collection, and filmmaker/talent support.
  • Oversee Theater Assistants in managing intros, Q&As, and talent flow.
  • Communicate plans for high-impact screenings to staff in advance.
  • Coordinate last-minute standby ticket sales with the Box Office.
  • Collaborate with Programming and Box Office teams to ensure Theater Assistants are updated on program changes.
  • Work with departments on reserved seating needs.

Operations and Protocol
  • Create and implement Theater Operations protocols, including line and crowd management, customer service best practices, and talent flow.
  • Oversee completion of Event Theater Tech Sheets for daily venue operations.
  • Ensure theater rules and policies are adhered to at all venues.
  • Oversee patron and staff safety procedures in collaboration with Operations Leadership and venue staff.
  • Liaise with the Operations team regarding patron-related concerns and security issues.

Staffing and Training
  • Collaborate with the Senior Manager of Operations on the hiring of all venue management staff.
  • Schedule, train, and manage all Theater Assistants and lead volunteers, ensuring adequate coverage and breaks.
  • Work with the Volunteer Coordinator to ensure strong volunteer coverage, particularly for high-impact or heavily attended screenings.
  • Provide training on theater operations protocols, customer service standards, accessibility devices, and talent/filmmaker procedures.

Qualifications
  • 3+ years of experience in film festivals, venue management, or large-scale public event operations.
  • Strong organizational, leadership, and communication skills.
  • Experience supervising volunteers and/or staff in fast-paced environments.
  • Ability to work independently and collaboratively across departments.
  • Positive, professional demeanor with internal teams and external stakeholders.
