Position Overview
The Advancement amp; Alumni Relations Associate is an integral member of the Office of Advancement. The position reports directly to the Associate Director of Advancement and works closely with the Advancement Team, Trinity Fund volunteers, Alumni Relations volunteers, and Spotlight on Art volunteers. The Advancement Associate is responsible for providing support to the Advancement Office’s overall functions, which include development (fundraising), special events, and communications, as well as leading, planning, implementing, executing, and evaluating alumni relations programs.
The salary range for this role is $50,000-65,000 per year depending on experience.

Educational Requirements
- A bachelor's degree
- 2-3 years experience in advancement/development (preferred)
- Must have excellent planning and organizational skills as well as strong attention to detail
- Needs to have the ability to manage a variety of programs and activities simultaneously and promote a spirit of teamwork among individuals to pursue common goals
- Must demonstrate the ability to communicate clearly and persuasively, orally and in writing, as well as have a highly developed sense of propriety in dealing with sensitive information
- Needs strong interpersonal skills and ability to work well with others as an integral member of the Advancement Team
- Has the ability to project an image of professional competence and credibility in representing Trinity School and in creating a climate of confidence and trust
- Have proficiency with Microsoft Office applications, including Word and Excel
- Have knowledge of fundraising software, Raiser’s Edge 7.0 or NXT (preferred)
Essential Requirements, Duties, and Responsibilities
- Responsibilities include gift and constituent management, Alumni Relations, Trinity Fund support, and special events support.
- Gift and Constituent Management
- Enter all philanthropic gifts in Raiser’s Edge, including the processing of all credit card donations
- Accurately and promptly prepare and mail all letters of acknowledgment
- Print, review, and mail all pledge reminders
- Maintain the integrity of constituent data by updating all constituent records in Raiser’s Edge, including but not limited to: address changes, attribute coding, solicitor information, volunteer roles, and relevant donor research
- Create, maintain, and modify all donor reports as requested and verify for accuracy
- Ensure the timely posting of all daily outgoing mail
- Maintain filing and security of all donor files
- Provide accurate, timely information for all donor gift inquiries
- Complete all matching gift paperwork and distribute accordingly
Alumni Relations
- Plan, implement, and promote alumni programs that support the School and Department’s strategic plans
- In collaboration with colleagues in The Office of Advancement, develop an annual strategic plan for alumni relations
- Establish and build relationships with a wide range of alumni, locally, regionally, and nationally; maintain regular communications with alumni via direct contact, email blasts, alumni web pages, social media, and print publications
- Work with the Director of Advancement to educate Sixth Grade students about philanthropy
- Oversee and balance the budget for Alumni Relations; within the annual program budget, manage existing and/or additional alumni programs services, and communications
- Manage all alumni information in Raiser’s Edge
- Manage and provide support and guidance to alumni volunteers, including the Alumni Board
- Write brief articles for Flourish and solicit class notes from alumni
Trinity Fund Support
- Generate all donor mailing lists, verifying for accuracy
- Set up all annual campaigns, funds, and appeals within Raiser’s Edge
- Assist with all Trinity Fund events by providing support to the Director of The Trinity Fund
Special Events Support
- Provide assistance for all special events, with emphasis on Spotlight on Art and Grand Day
- Manage and set up processes for all event data entry related to Spotlight on Art and Grand Day
Administrative/Other
- Communicate effectively and professionally with a variety of school volunteers, board members, and donors
- Generate mailing and email distribution lists from Raiser’s Edge for the Office of Advancement
- Assist in photographing development and all-school events
- Assist with website maintenance—advancement related only
- Manage, under the direction of the Director of Advancement, the office budget
- Serve as recording secretary for all Advancement meetings, prepare minutes
- Serve as the primary recipient for all event and meeting RSVPs
- File all correspondence
- Assure discreet and confidential handling of all office business
- All other duties as assigned

This is a salaried exempt position, not eligible for overtime, under the Fair Labor Standards Act.

This position reports to the Associate Director of Advancement.
Work Hours
Generally, Staff works Mondays through Thursdays 7:30 AM–4:00 PM. Some Wednesdays require meetings until 4:30 PM and there are some special events that require evening work. Friday hours are from 7:30 - 3:00 PM.
Summer and Holiday hours and days may be altered at the discretion of the Head of School.
Faculty and Staff rotate weekly morning carpool which starts at 7:30 AM.
When necessary, the employee must be flexible in the ability to work more than her/his regular daily or weekly schedule to complete duties.
