Position Purpose/Summary:

The VMI Representative is responsible for owning and optimizing the customers supply chain performance within a Vendor Managed Inventory (VMI) environment. This role serves as the primary operational, analytical, and commercial liaison between the customer and Client, ensuring uninterrupted material flow, contractual compliance, and continuous improvement of inventory performance.

Unlike traditional customer service or inside sales roles, the VMI Representative operates as a supply chain controller, managing inventory levels, demand signals, replenishment strategies, and cross-functional issue resolution across Purchasing, Quality, Warehouse, and Contracts. This position requires a strong understanding of aerospace fastener distribution, ERP systems (SAP), customer portals, and AS9100/AS9120 compliance standards, with direct accountability for customer satisfaction, inventory health, and operational execution.

Essential Responsibilities/Duties

In the performance of their respective tasks and duties all employees are expected to conform to the following:

Customer Supply Chain Ownership

Own end-to-end VMI program execution for assigned customer(s), ensuring material availability, on-time delivery, and contract compliance

Monitor and manage inventory levels to prevent:

o Stockouts

o Excess / obsolete inventory

o Supply chain disruptions

Act as the single point of accountability for customer operational performance


Demand Planning & Inventory Optimization

Analyze demand signals, usage trends, and bin activity to drive:

o Replenishment strategies

o Min/max adjustments

o Forecast accuracy improvements

Conduct bin turn analysis and scan frequency validation to ensure adherence to contractual service models

Collaborate with internal teams to optimize inventory positioning and stocking strategies

Cross-Functional Issue Resolution

Identify and resolve supply chain issues including:

o Late deliveries

o Allocation shortages

o Quality holds

o Inventory discrepancies

Partner with:

o Purchasing ? expedite and sourcing

o Warehouse ? receiving, picking, and inventory accuracy

o Quality ? compliance, certs, and product release

o AR? accounts receivable, hold release

Escalate risks proactively and drive resolution to completion


Customer Relationship & Performance Management

Serve as the primary operational contact for the customer, ensuring:

o Clear communication

o Issue resolution

o High service levels

Lead and present Quarterly Business Reviews (QBRs), including:

o Inventory performance

o Service metrics

o Continuous improvement initiatives

Maintain strong customer relationships while holding accountability for performance


Contract & Commercial Support

Support contract implementation and ongoing compliance by:

o Ensuring pricing, terms, and service levels are executed correctly in ERP

o Assisting in contract reviews and renewals

Identify opportunities to:

o Improve margins

o Reduce inefficiencies

o Expand service scope


ERP, Data & Reporting

Utilize ERP systems (SAP preferred) and customer portals to:

o Monitor order status

o Track inventory levels

o Manage replenishment activity

Build and analyze reports using Excel to:

o Identify trends

o Highlight risks

o Support decision-making

Ensure data accuracy across systems (ERP, portals, and customer-facing tools)


Financial & Operational Alignment

Monitor and support resolution of Accounts Receivable issues to prevent credit holds and supply disruption

Ensure accurate and timely invoicing aligned with contractual agreements

Support internal alignment between sales, finance, and operations

Qualifications

Minimum Qualifications

Education/Experience: High school diploma or equivalent required.

1-2 years prior experience in Customer Service

Extensive experience with the implementation of corrective action programs

3+ years of aerospace fastener experience

Knowledge: Understand customer Approved Supplier Lists and ensure a match to internal systems.

Knowledge of how to complete reporting in excel and emails.

Expert understanding of Supply Chain Management.

Demonstrated knowledge and ability to balance priorities.

Previous ERP/CRM system knowledge

Commitment to excellence and high standards.

Versatility, flexibility, and a willingness to work within constantly changing priorities with enthusiasm.

Skills: Excellent verbal and written communication skills

Requires excellent analytical and quantitative skills.

Ability to effectively communicate with people at all levels and from various backgrounds.

Advanced organizational skills

Strong organizational skills; able to manage priorities and workflow.

Expert attention to detail skills with an error-free work product.

Intermediate level on Excel skills

Preferences Expert level on Excel highly desired.

2 years of SAP knowledge highly preferred

Some college, AS, BA, BS or BBA degree in: Supply Chain Management or Operations, Logistics, or a quantitative field, i.e., Business, Math, Engineering, Industrial Resources, or Economics or equivalence commiserate experience strongly preferred.

Resolve supply chain issues within 2472 hours depending on severity

Maintain 100% contract compliance in ERP and execution

Demonstrate measurable improvements in:

o Inventory turns

o Service levels

o Cost reduction opportunities

Work Requirements

Ability to operate in a fast-paced, high-accountability supply chain environment

Frequent interaction with customers, internal teams, and suppliers

Ability to analyze large datasets and make real-time decisions impacting operations

High level of accountability for customer satisfaction and operational performance

Occasional travel (up to 10%) to customer sites, including potential international travel

Ability to work in both office and warehouse/customer environments as needed

Must maintain accuracy and decision-making under pressure and competing priorities
