Job Summary

The Creative Team creates all of the digital and physical multimedia to promote events and communicate the vision of James River Church. As Creative Team Projects & Dream Team Coordinator, you will support the Creative Team with departmental project needs, overseeing accounting, & communications.

Essential Responsibilities & Duties

Administrative Responsibilities & Project Logistics:

  • General office duties (correspondence, phone calls, computer tasks, scheduling appointments, mail, email, ordering of supplies, filing, etc.)
  • Coordinate and prepare agendas for weekly meetings
  • Maintain a calendar system for the department and assure that complete information is available for all matters
  • Process monthly expense reports and invoices related to the department
  • Maintain and prepare accounting related reports as needed
  • Maintains the overall atmosphere of the offices. This includes cleanliness of the department, adequate supplies for office visitors (tissues, pens, etc.), and a productive work atmosphere
  • Manage workflow and project assignments via the project management system – Asana
  • Know the scope, details, and status of projects at all times. Interact with the Creative Team to determine project feasibility based on scope and timing and identify and prevent possible risks that may affect projects.
  • Create, update, and maintain detailed project schedules in our project management software and ensure that all deadlines are met according to the schedule.
  • Participate in planning, providing the execution strategy (pricing, deliverables, and timing) for all projects.
  • Manage vendor/agency partner relationships in terms of execution and deliverables.
  • Function as the first point of contact in securing appropriate internal and external resources for existing projects and play an integral role in all decisions regarding project resources, budgets, process, and schedules.
  • Work with departments and leadership to identify and secure project resources and provide project status updates.
  • Perform other related duties as required or assigned by leadership

Dream Team & Grow Track Assimilation:

  • Oversee the recruitment and development of all Creative Dream Team positions by providing weekly resources, leading team huddles, and connecting with Dream Teamers between serve days.
  • Connect with prospects within one week of receiving the list from the Connections team.
  • Create a high quality first-serve experience for all new Dream Teamers.
  • Track prospects in Fellowship One, including the transition from “Prospect/Training” to a “Regular Assignment”.
  • Ensure all Dream Teamers are properly trained before serving unsupervised.
  • Create a serve calendar that schedules Dream Teamers well in advance.
  • Provide guidance to Dream Teamers who have questions and address any issues or situations that arise during services and events.
  • Oversee and manage camera equipment for staff and Dream Team.


Requirements:

Job Requirements

  • Associates degree is preferred.
  • Two (2) years of administrative experience
  • Any equivalent combination of training and experience

Knowledge, Skills, & Abilities

  • Knowledge of modern office methods and procedures, filing, telephone techniques, and office equipment; as well as English usage, spelling, grammar, and punctuation.
  • Knowledge of the project management system, Asana
  • Exhibit professionalism and maintain confidentiality at all times.
  • Ability to get along well with others.
  • Ability to manage time and multiple priorities to meet deadlines.
  • Ability to communicate effectively and professionally, orally and in writing.
  • PC skills including Excel, Outlook, Publisher, and Word.
  • Capacity to interact positively with and provide service to others at all levels within JRC.
  • Exhibit good judgment, honesty, integrity, responsibility, and punctuality through the utilization of professional work standards.
  • Ability to work in a fast-paced environment while meeting critical deadlines.

James River Church is Pastor-led, and staff driven with board oversight.
