The Opportunity

The HR Process Coordinator supports the day-to-day administration and coordination of HR process excellence, project management, and governance activities. This role helps maintain accurate process and project documentation, coordinates meetings and operating rhythms, tracks actions and deliverables, supports portfolio reporting, and ensures information is organized and accessible.

Working across HR functions, the role provides administrative and coordination support to HR Process & Governance team members and HR stakeholders while developing foundational experience in process management, continuous improvement, and project delivery.

What you will do?

  • Support the creation, formatting, maintenance, and publication of HR process documentation, including process maps, standard operating procedures, work instructions, job aids, templates, and related materials.
  • Maintain process and project repositories, ensuring documents are appropriately named, organized, version-controlled, and routed for required review and approval.
  • Coordinate project and process meetings, including scheduling, agendas, materials, meeting notes, action items, decision logs, and follow-up.
  • Maintain assigned project plans and trackers by updating milestones, deliverables, dependencies, risks, issues, decisions, actions, and status information based on input from project leads and team members.
  • Track outstanding actions and upcoming milestones, follow up with owners, and escalate overdue or unresolved items to the appropriate Process Excellence team member.
  • Support administration of the HR project portfolio and backlog by maintaining intake records, project information, status updates, key dates, dependencies, and other portfolio data.
  • Prepare and consolidate routine project and portfolio reporting, including status updates, upcoming milestones, overdue actions, risks, and other information required for team and leadership reviews.
  • Support process discovery and documentation activities by coordinating sessions, gathering existing materials, capturing process information, and incorporating approved updates into process documentation.
  • Assist with continuous improvement activities by gathering data, documenting pain points and improvement opportunities, maintaining improvement trackers, and supporting follow-up on approved actions.
  • Support HR projects, technology implementations, and transformation initiatives through meeting coordination, documentation, testing administration, readiness tracking, communications support, training logistics, and implementation activities.
  • Maintain team templates, tools, calendars, trackers, and other resources used to support consistent process and project management practices.
  • Track basic process and project measures and assist with data validation and preparation of recurring reports and dashboards.
  • Identify opportunities to improve administrative processes, templates, trackers, and team operating practices and recommend improvements to Process Excellence team members.

Required Qualifications

  • 2+ years of experience in project coordination, HR operations, business operations, process documentation, administrative support, or a related discipline preferred.
  • Strong organizational skills, attention to detail, follow-through, and ability to manage multiple deadlines and priorities.
  • Strong written and verbal communication skills, including the ability to capture discussions, actions, and decisions clearly and accurately.
  • Experience maintaining project plans, trackers, meeting materials, documentation repositories, reports, or similar operational records.
  • Ability to work collaboratively with stakeholders across different functions and levels of the organization.
  • Proficiency with Microsoft Word, Excel, PowerPoint, Teams, and SharePoint, with experience using project management or process tools such as Monday.com, Smartsheet, Visio, Lucidchart, Blueworks, or similar platforms preferred.
  • Experience working with HR systems or supporting HR projects or technology implementations preferred.
