On-Site Account Representative (Multi-Site)

Job Description: On-Site Account Representative is responsible for managing industrial spare parts logistics, inventory coordination, and customer support across multiple manufacturing facilities within an assigned geographic territory. This role includes a designated home site while providing scheduled support to multiple customer plants within approximately a 25–30 mile radius.

The position requires daily interaction with customer personnel, suppliers, and internal operations teams to ensure the timely identification, movement, tracking, and shipment of industrial machine spare parts. In addition to on-site support, this role also manages virtual warehouse coordination activities, ensuring parts visibility, transaction accuracy, and seamless material flow between locations.

The ideal candidate is highly organized, self-directed, comfortable working independently across multiple environments, and capable of building strong customer relationships while maintaining operational accuracy.

Key Responsibilities

Multi-Site Customer Support

  • Serve as the primary AH Group representative across multiple assigned customer manufacturing locations.
  • Maintain a regular site coverage schedule, including support at the home site and surrounding plants within assigned territory.
  • Build strong day-to-day relationships with plant personnel, maintenance teams, and customer contacts.

Spare Parts Management

  • Gather industrial machine spare parts from designated plant areas, including failed components requiring repair or replacement.
  • Identify, label, and prepare parts for shipment according to customer and supplier requirements.
  • Monitor movement of parts between plants, suppliers, and warehouse locations.

ERP & Transaction Management

  • Accurately enter all part activity into ERP systems for full transaction visibility and tracking.
  • Maintain detailed records of open transactions, shipments, receipts, and inventory movement.
  • Ensure all transactions are updated in real time to support operational reporting.

Supplier & Vendor Coordination

  • Communicate regularly with suppliers and repair vendors regarding open orders, repairs, delivery timing, and shipment status.
  • Follow up proactively by phone, email, and direct communication to drive timely completion of transactions.

Virtual Warehouse Coordination

  • Oversee virtual warehouse inventory transactions tied to assigned customer accounts.
  • Coordinate stock movement, inventory visibility, and replenishment support across multiple locations.
  • Assist in resolving discrepancies between physical inventory and system records.

Shipping & Receiving

  • Coordinate outbound and inbound shipments of industrial parts.
  • Prepare documentation for shipments and verify receipt accuracy.
  • Perform physical handling of parts as required.

Territory Ownership

  • Manage daily priorities independently across assigned plants.
  • Coordinate travel between locations efficiently while ensuring customer coverage.
  • Communicate regularly with internal leadership regarding priorities, urgent needs, and account activity.

Qualifications

  • Exceptional written and verbal communication skills.
  • Strong organizational skills with ability to manage multiple priorities across locations.
  • Comfortable working independently in multiple customer environments.
  • Ability to communicate professionally by phone, email, and in person.
  • Strong attention to detail and transaction accuracy.
  • Ability to perform physical work related to gathering, moving, and shipping industrial parts.
  • Valid driver’s license and reliable transportation required.
  • ERP experience preferred; training will be provided.
