What is a virtual support specialist?

Virtual support jobs assist clients with questions or problems they may have with a product or service. You find these positions in a variety of industries, including business, insurance, retail, and technology. As a virtual support professional, you work from home or another remote location with internet accessibility. You provide support to customers who contact them through online portals such as live chat applications, email, or over the phone. Your duties and responsibilities vary, depending on the company and industry. For example, remote retail support staff answer questions about products, assist with completing orders, and record complaints from customers. IT support specialists help software and hardware customers set up their products or troubleshoot when problems arise.

What are the key skills and qualifications needed to thrive as a virtual support specialist, and why are they important?

To thrive as a Virtual Support Specialist, you need strong problem-solving abilities, customer service skills, and proficiency in written and verbal communication, often supported by a high school diploma or equivalent. Familiarity with customer relationship management (CRM) software, helpdesk tools like Zendesk or Freshdesk, and basic office applications is typically required. Outstanding organizational skills, patience, and the ability to multitask set top performers apart in this role. These skills ensure timely and effective support for clients, leading to higher satisfaction and efficient remote service delivery.

What are some common challenges faced by virtual support professionals, and how can they be managed effectively?

Virtual Support professionals often encounter challenges such as managing multiple client requests simultaneously, ensuring clear communication across digital channels, and maintaining productivity in a remote environment. To address these, it's important to utilize robust organizational tools, set clear boundaries for response times, and prioritize tasks effectively. Regular team check-ins and ongoing training in communication tools can also help foster collaboration and reduce misunderstandings, leading to smoother workflows and a more supportive virtual environment.

Job description

Job Description
This is a remote role that will require you to support a remote first workforce. There may be some travel associated with this role, to support some of our offices and attend team sponsored events on-site. This role will support our company 9am-5pm Pacific time, Monday-Friday.
A bit more about this role:
At Devoted Health, we believe our employees can only provide world-class care to our members if they feel supported, empowered, and valued themselves. We don't view IT as "fixing computers" -- we view it as a hospitality mission. We treat our colleagues like family. Your goal is to ensure their technology is a bridge, not a barrier, turning frustrating technical hurdles into "wow" moments through empathy, kindness, and technical excellence.
Your responsibilities & impact:
  • Universal Support: Provide technical support for our entire workforce, whether they are in-office or remote, across ChromeOS and MacOS environments.
  • SaaS Administration: Learn the administration and maintenance of core tools including Google Workspace, Jamf, Slack, and Atlassian.
  • Infrastructure & Presence: Maintain in-office hardware (AV, networking, and peripherals) while staying highly accessible across our virtual support channels.
  • Process Improvements: Help streamline IT operations and solutions and maintain knowledge base articles.
  • Cross-Functional Collaboration: Partner with internal teams to help bring helpdesk tickets to resolution.
  • Secure Environment: Ensure our "digital office" remains organized, secure, and intuitive for all users.

Required skills & experience:
  • A "People Person" First: You genuinely enjoy helping others, take pride in working collaboratively, and possess the patience to communicate effectively with non-technical staff.
  • Detail-Oriented & Empathetic: You recognize that a technical hurdles is a barrier to a teammate's success and treat every ticket with a high level of urgency and care.
  • Problem-Solver & Adaptable: You possess the skills to diagnose issues while balancing multiple priorities in a fast-paced, evolving environment.

Desired skills & experience:
  • Member Experience Mindset: Prior experience in a helpdesk setting supporting both in-person and remote employees across various SaaS tools.
  • Use-Centric Approach: A proven ability to put yourself in the shoes of the person you are supporting to provide a seamless, high-quality experience.
