Your Opportunity:

AHS Provincial Medical Affairs is seeking a skilled and experienced administrative professional to become the Executive Administrative Coordinator (EAC) to primarily support the team of Alberta Health Services (AHS) Associate Chief Medical Officers (ACMOs) and senior provincial medical leaders. The EAC provides senior administration support and acts as an internal and external first contact for many requests or issues that may arise. The position is required to provide a high standard of interpersonal communication and must demonstrate confidentially flexibility and initiative. The incumbent must maintain a positive and professional image in dealing with a variety of situations of varying complexities which requires diplomacy, tact and confidentially. Effective time management skills are essential due to the large volume of work and competing priorities within a complex and very frequently changing environment. The individual must be self-directed, flexible, and able to exercise expert judgement concerning the management of information and materials. Effective communication and strong interpersonal skills are imperative.

Description:

The EAC will work with a high degree of independence and professionalism to support the efficient operation of ACMO offices. This includes a broad range of activities including, for example: supporting prioritization of ACMO time and scheduling/rescheduling; correspondence management; researching and preparing background material for senior level meetings; event planning and coordination; expense reimbursement and reconciliation; liaison with other portfolios and organizations; supporting ACMO follow through on deliverables; creation of portfolio operating procedures and tools; secretariat support for Working Groups as required, etc. Various projects may be assigned time to time in addition. The EAC will also support the Office of the Chief Medical Officer (CMO) and the AHS Provincial Medical Affairs portfolio in general with surge workload and temporary absences of support staff. The EAC may also support other provincial AHS leaders in this portfolio.

Required Qualifications:

A post secondary diploma or degree. 5 years experience supporting a senior leader in a large, complex organization. Change Management certification. Completion of formal training with Microsoft Office Suite, including but not limited to: Word, Excel, PowerPoint, Outlook (email and calendar), MS Teams and OneNote. Familiarity with the dual role of a medical leader between administration and clinical practice.


Additional Required Qualifications:

Excellent written and verbal communication skills; must be able to communicate on the fly with confidence and timeliness utilizing multiple forms of communication with multiple areas within Alberta Health Services. Strong interpersonal and communication skills with the ability to work in a collaborative manner with diverse groups of individuals. Demonstrated skills with advanced knowledge and use of electronic tools for communication - specifically Outlook email and calendar, and MS Teams. The ability to work in a fast-paced environment with many distractions and interruptions. Excellent computer/software troubleshooting skills. Proven success shown in effectively working independently and within a team environment. Ability to seek out information/answers with minimal direction or guidance. Experience working successfully in a virtual team environment. Experience in managing time constrained schedules with Senior Leaders Strong attention to detail with superior editing and proofreading skills. Demonstrated ability to work with tight timeframes, deal appropriately with confidential information, deal with constant interruptions, and multitask in a fast-paced environment. Experience with committee coordination, event planning and associated administrative functions. Equivalencies of education, experience and skills may be considered.


Preferred Qualifications:

Considerable working knowledge of Alberta Health Services systems and processes. Considerable working knowledge of applicable legislation, policies, and processes.
