ABOUT SAMU

The Students' Association of MacEwan University (SAMU) is a non-profit organization working independently from MacEwan University to support students. Our purpose is to enrich the student experience by focusing on their non-academic needs through an array of student-driven programs and services.

PURPOSE

SAMU has an opening for part-time Administrative and Retail Support within the SAMU Building. The position plays a vital role on the administrative team under the direction of the Administration and Retail Manager and will be working mainly at the SAMU front desk.

The successful applicant requires a cordial manner, excellent organizational skills, great flexibility and the ability to handle multiple tasks in a fast-paced environment. Knowledge and experience performing various clerical, administrative and secretarial duties would be an asset.

Applicants will be proficient in Microsoft Office Suite, including Word, PowerPoint, and Excel. Excellent oral and written communication skills are also requirements of this position. Employees are expected to arrive on time, give as much notice as possible if absent/late, and follow policies and procedures.


RESPONSIBILITIES

  • Financial & Retail Support- (45%)
    Perform Point of Sale (POS) transactions.
    Track retail inventory
    Assist with advertising bookings
    Maintain SAMU and paid posters Boards throughout campus.
    Prepare table rentals
    Facilitate student group deposits.
    Support Accounts Payable and Accounts Receivable administration.
    Prepare deposits for banking.
  • Customer Service & Program Support - (30%)
    Greet, welcome, and direct students, staff, and guests.
    Answer, screen, and forward incoming phone calls and emails.
    Provide customer support and respond to inquiries.
    Provide accurate information regarding SAMU programs, services, and resources.
    Support students with Arc Card and U-Pass registration.
    Ensure U-Pass volunteers are knowledgeable about program and provide accurate information and support.
  • Administrative & Office Operations- (20%)
    Assist with incoming and outgoing mail.
    Assist in booking meetings and sharing boardroom calendars.
    Create and edit office forms.
    Compile, update, and distribute the Staff Contact List.
    Track sign-out inventory.
    Ensure office supplies are adequately stocked.
    Assist with taking meeting minutes.
    Assist with proofreading documents.
    Maintain a clean, organized, and professional reception and office area.

EDUCATION AND EXPERIENCE

  • Preference will be given to current MacEwan Students registered in a minimum of one class during either Fall 2025 or Winter 2026 term.
  • Previous customer service, retail, reception, or administrative is considered an asset.
  • Experience handling cash, operating a Point of Sale (POS) system, or processing financial transactions is an asset.

KNOWLEDGE, SKILLS, AND ABILITIES

  • Strong computer skills, knowledge and ability to use various programs including using Microsoft Office applications (Word, Excel, Outlook, and Teams)
