Job description

Administrative Coordinator – Training & Operations

Training team is seeking a highly organized Administrative Coordinator to support daily training operations and department administration. This position plays a key role in coordinating training activities, procurement, travel, meetings, reporting, and office operations while supporting multiple engineering and management teams.

This is an excellent opportunity for someone who enjoys working in a fast-paced corporate environment with strong organizational, communication, and multitasking skills.

Key Responsibilities
  • Schedule and coordinate training classes using training software
  • Review and improve Power BI reports related to training activities
  • Prepare and organize training materials and student handouts
  • Create, process, and track purchase requisitions and purchase orders
  • Support procurement activities and monitor order status
  • Coordinate shipping and receiving of equipment, hardware, and parts
  • Manage office administrative functions including mail, conference room scheduling, catering, and office supplies
  • Coordinate domestic and international travel arrangements
  • Plan and organize in-person and virtual meetings for leadership teams
  • Process expense reports and invoices while ensuring compliance with Toyota procedures
  • Track department expenses and assist with invoice reconciliation and forecasting
  • Distribute department communications, announcements, and reports
  • Coordinate office moves, seating changes, and administrative updates
  • Assist with employee recognition events, team meetings, and morale activities
Required Qualifications
  • Some college coursework in Business, Accounting, Finance, Mathematics, or a related field
  • At least 1 year of administrative or office support experience
  • Strong proficiency with Microsoft Office, including:
    • Excel
    • PowerPoint
    • Word
    • Outlook
    • Microsoft Teams
  • Excellent organizational, communication, and multitasking skills
  • Ability to work occasional overtime (up to 5%)
  • Ability to travel up to 10% domestically and internationally
Preferred Qualifications
  • Associate degree in Business or a technical field, or 3+ years of administrative experience
  • Corporate administrative support experience
  • Experience coordinating meetings through Microsoft Teams or other virtual meeting platforms
  • SAP and/or Ariba procurement experience
  • Power BI reporting experience
  • Previous Toyota experience is highly preferred
