Job description

Position Summary

We are seeking a highly organized, detail-oriented, and self-motivated Part-Time Virtual Assistant to provide administrative, communications, and event management support for multiple nonprofit associations and clients. This position is ideal for someone who thrives in a fast-paced environment, enjoys juggling a variety of projects, and can work independently while maintaining a high level of professionalism.

The Virtual Assistant will play a key role in supporting organizational communications, preparing newsletters and marketing materials, managing administrative tasks, coordinating events, and ensuring day-to-day operations run smoothly.

Primary Responsibilities

Communications & Marketing

  • Create and schedule social media content across multiple platforms (Facebook and Instagram)
  • Design graphics and promotional materials using Canva
  • Prepare and distribute electronic newsletters using platforms such as Mailchimp or Constant Contact
  • Assist with website updates and digital communications as needed

Administrative Support

  • Prepare correspondence, reports, forms, and other business documents
  • Organize electronic files and maintain accurate records
  • Assist with data entry and database maintenance
  • Prepare meeting materials, agendas, and minutes
  • Perform general administrative and clerical tasks

Event Management

  • Assist with planning and coordinating conferences, meetings, webinars, and special events
  • Manage event registrations and attendee communications
  • Coordinate speaker materials and event logistics
  • Prepare event marketing materials and follow-up communications
  • Support onsite event operations on an as-needed basis (occasional travel may be required)

General Office Support

  • Manage multiple deadlines and priorities simultaneously
  • Communicate professionally with clients, vendors, and members
  • Assist with special projects as assigned

Required Qualifications

  • Previous experience as a virtual assistant, administrative assistant, or similar role
  • Strong written and verbal communication skills
  • Exceptional organizational and time management abilities

  • Ability to manage multiple projects while meeting deadlines

Required Technical Skills

Applicants must demonstrate proficiency with:
