What is a virtual librarian?

Virtual librarians are professional librarians who provide research assistance, information retrieval, and support services online instead of in a traditional library setting. They help patrons access digital resources, answer reference questions, and guide users in finding credible information through chat, email, or video calls. Virtual librarians often work for public, academic, or special libraries and are skilled in using digital databases and library management systems.

What does a virtual librarian do?

A virtual librarian's primary responsibilities are to assist patrons in searching for materials through an online library, provide resources through technology, and request electronic holdings from other databases when needed. Your duties include recommending materials for purchase or lease to benefit existing programs, offering a high level of customer service, using scripted and custom responses, and staying updated on current electric holdings available. A virtual librarian works remotely and acts as a reference through live chat or email. You may work for an academic library by helping students and faculty with searches for books and articles.

What are the key skills and qualifications needed to thrive as a virtual librarian, and why are they important?

To thrive as a Virtual Librarian, you need expertise in information science, cataloging, and research methods, typically supported by a Master’s in Library Science (MLS) or equivalent. Familiarity with digital library platforms, integrated library systems (ILS), and online reference tools is essential. Strong communication skills, adaptability, and customer service orientation set outstanding virtual librarians apart. These abilities are crucial for effectively assisting patrons remotely and ensuring seamless access to digital resources.

How does a virtual librarian typically support users and collaborate with other library staff remotely?

As a Virtual Librarian, you will primarily interact with users via online chat, email, video calls, and digital platforms to assist with reference questions, research guidance, and access to digital resources. Collaboration with other library staff often takes place through regular virtual meetings, shared project management tools, and coordinated digital outreach initiatives. You'll also contribute to developing online learning materials and may participate in virtual programming. Strong communication skills and comfort with technology are essential for effective teamwork and user support in this remote environment.

Job description

Job Description
Job Description

Docufree (www.docufree.com) is a unified, cloud-based platform that combines SaaS software, AI, and certified human-in-the-loop services to capture, manage, and automate the document-driven workflows that regulated enterprises cannot get wrong. Leading organizations in financial services, insurance, government, healthcare, and legal rely on Docufree to digitize their information, manage it securely, and automate mission-critical processes with the accuracy and compliance those industries demand.

We are looking for an experienced training professional to design, build, and deliver the training that makes our revenue team and partners effective. You will create training materials and curriculum and conduct training classes for sales representatives, sales development representatives (SDRs), sales engineers (SEs), customers, and dealer network partners. Because we sell a sophisticated platform across three solution areas β€” ScanCloud for capture, DocumentCloud for content management, and AutomateCloud for intelligent automation β€” into regulated industries, this role turns product capability, sales methodology, and industry context into clear, practical learning that improves ramp time, proficiency, and results. The role reports to sales leadership.

Role and Responsibilities

  • Design training curricula and learning paths for each audience: sales reps, SDRs, sales engineers, customers, and dealer network partners.
  • Create the training materials that support them, including facilitator guides, participant workbooks, slide decks, job aids, e-learning modules, and assessments.
  • Conduct instructor-led training classes, in person and virtually, including new-hire onboarding, ongoing skills development, and product training.
  • Own sales onboarding and ramp, running a structured program that shortens time to productivity for new reps, SDRs, and SEs.
  • Deliver product and solution training across ScanCloud, DocumentCloud, and AutomateCloud, keeping content current as the platform evolves.
  • Train on sales methodology, discovery, demos, objection handling, negotiation, and closing, reinforcing our sales process and CRM discipline.
  • Develop and deliver customer training that helps clients adopt the platform and get value from it, in coordination with customer success.
  • Build and run a partner enablement track that certifies dealer network partners to sell, represent, and support Docufree.
  • Maintain a central, version-controlled library of training content so materials stay accurate and easy to find.
  • Measure training effectiveness through assessments, certifications, and performance metrics, and refine the curriculum based on results and field feedback.
  • Partner with sales leadership, product, marketing, sales engineering, and customer success to keep training aligned with go-to-market priorities.

Qualifications and Education Requirements

  • Demonstrated experience creating training materials, building curriculum, and conducting training classes for sales or customer-facing teams.
  • Experience training multiple audiences, including sales reps, SDRs, sales engineers, customers, and channel or partner networks.
  • Strong facilitation and presentation skills, comfortable leading both in-person and virtual classes across varied audiences and group sizes.
  • Instructional design skills, with the ability to turn complex products and processes into clear, structured, and engaging learning.
  • A solid understanding of B2B sales roles and the sales cycle, so training reflects how reps, SDRs, and SEs actually work.
  • Ability to learn a sophisticated software platform quickly and explain it credibly to both business and technical learners.
  • Excellent written and verbal communication, plus the organizational and project management skills to run a content library and a training calendar.
  • Proficiency with learning and content tools, such as a learning management system, e-learning authoring tools, and presentation software.
  • Bachelor's degree or equivalent professional experience.

Preferred Skills

  • Experience in a sales enablement or sales training role at a B2B SaaS, software, or technology company.
  • Experience building partner or channel certification programs.
  • Familiarity with sales methodologies (such as MEDDIC, Challenger, or Sandler) and the ability to train to them.
  • Working understanding of document management, content management, or business process automation concepts.
  • Experience with CRM and sales engagement tools (such as SalesFlow, Salesforce, Outreach, or Salesloft) and training others to use them.
  • Familiarity with LMS platforms (such as TalentLMS) and e-learning authoring tools (such as Articulate or Camtasia).

Additional Notes

  • Compensation includes a competitive base salary plus a performance based incentive tied to enablement and ramp outcomes.
  • This role can grow into a sales enablement leadership position as the program and team scale.
