What is a virtual HVAC assistant?

Virtual HVAC Assistants are remote professionals who help HVAC companies and technicians with administrative tasks such as scheduling appointments, managing customer inquiries, processing invoices, ordering parts, and providing customer support. They utilize digital tools and communication platforms to efficiently coordinate between customers, field technicians, and office staff. By handling these non-technical tasks remotely, Virtual HVAC Assistants enable HVAC businesses to improve their productivity, customer service, and operational efficiency.

What skills and qualifications are needed to thrive as a virtual HVAC assistant?

To thrive as a Virtual HVAC Assistant, you need a solid understanding of HVAC systems, troubleshooting basics, and strong organizational skills, typically backed by experience in HVAC support or certification such as EPA Section 608. Familiarity with remote diagnostic tools, scheduling software, and customer relationship management (CRM) systems is essential. Excellent communication, problem-solving abilities, and attention to detail set standout assistants apart in this role. These skills ensure timely, accurate support to technicians and customers, driving efficient service delivery in a remote environment.

Effective communication and organizational skills are essential, as the assistant helps troubleshoot basic issues, document service details, and provide updates to both clients and field staff. By acting as a liaison, Virtual HVAC Assistants help streamline workflows and ensure that service requests are addressed promptly and efficiently.

We’re looking for dependable, skilled technicians who take pride in their work, perform well in fast-paced service environments, and deliver strong customer service. If you’re an experienced technician who communicates well and goes the extra mile, we want to hear from you.

Job Responsibilities:

  • Handle and manage refrigerants safely in compliance with EPA regulations.
  • Read and interpret technical diagrams, manuals, and schematics.
  • Repair and replace compressors, motors, fans, and other critical components.
  • Provide professional and reliable service during emergency service calls.
  • Work with EMS systems, including CPC, Tracer, and HMI.
  • Collaborate with customers, dispatch, and fellow technicians to ensure a seamless service experience.
  • Accurately log service reports using mobile and digital platforms.
  • Communicate professionally with store managers, supervisors, and team members.
  • Complete all required paperwork, including work tickets and timesheets, accurately and on time.
  • Deliver high-level customer service to retail and commercial clients, including restaurants, grocery stores, convenience stores, schools, hotels, hospitals, and military bases.
  • Perform additional duties as assigned by management.

Qualifications:

  • EPA Universal Certification (required)
  • Valid driver's license with a clean driving record; extensive driving is a key part of the role
  • Experience and working knowledge of HVAC and commercial refrigeration preferred.
  • Strong mechanical aptitude and troubleshooting skills.
  • Technicians are expected to supply their own standard hand tools.
  • Ability to complete necessary paperwork accurately and in a timely manner
  • Strong communication skills with clients, team members, and management
  • Able to work under pressure in fast-paced or high-stress environments
  • Self-starter who can work independently and as part of a team
  • Indoor and outdoor work with exposure to noise, dust, fumes, mechanical/electrical hazards, and weather
  • Ability to sit, stand, walk, bend, stoop, reach, crouch, and occasionally climb stairs or ladders
  • Ability to lift up to 50 pounds
  • Frequent driving of motor vehicles

Schedule:

  • Monday to Friday, 8:00 AM to 6:00 PM
  • Overtime may be required based on workload
  • Participation in an on-call rotation following the training period. Must be available and responsive during assigned on-call shifts.

Benefits:
