Position Description: 

The Grants Project Coordinator & Data Processing Specialist, Junior provides administrative, operational, and transaction processing support for federal grant review and application activities. This role supports the coordination of reviewer activities, scheduling and documentation management, and the intake, validation, and processing of grant application materials.

Working under the guidance of managers and senior staff, the coordinator helps ensure grant review operations, application processing activities, and related project tasks are completed accurately, efficiently, and within established timelines. The ideal candidate is highly organized, detail-oriented, process-driven, and comfortable working across multiple systems in a fast-paced environment.

Duties and Responsibilities

Grant Review and Project Coordination Support 

  • Assist with preparing and maintaining program support materials, webpages, templates, and review documentation.
  • Upload and organize review details within SharePoint, tracking spreadsheets, and internal systems.
  • Support reviewer recruitment activities, including preparing and distributing invitation communications using approved templates and mail merge tools.
  • Maintain reviewer tracking records and update reviewer participation information accurately.
  • Assist with assigning reviewers to panels and monitoring reviewer responses.
  • Schedule and coordinate Zoom orientation sessions and panel meetings.
  • Track attendance and provide administrative support during virtual meetings and panel discussions.
  • Support ARM activities by assisting with score finalization and review documentation completion.
  • Maintain organized electronic files, reports, and review records.

Grant Application Processing and Data Validation 

  • Collect and organize grant applications submitted through Grants.gov and related systems.
  • Transfer and process application materials within GrantSolutions and other grant management platforms.
  • Validate application data using established procedures, checklists, and quality control processes.
  • Review application packages for completeness, accuracy, and compliance with submission requirements.
  • Facilitate document transfers and uploads between systems, including ARM and GrantSolutions.
  • Maintain accurate processing logs, tracking spreadsheets, and related documentation.
  • Identify discrepancies or missing information and escalate issues to senior staff as needed.
  • Support reporting and close-out activities by compiling and organizing required data and documentation.

Administrative and Operational Support 

  • Assist with preparing close-out letters, payment vouchers, surveys, and incident reports.
  • Maintain accounting and payment tracking records accurately.
  • Support report preparation and submission activities under supervision.
  • Follow established standard operating procedures (SOPs), quality assurance measures, and data handling protocols.
  • Ensure confidentiality and proper handling of sensitive grant and applicant information.
  • Participate in team meetings, training sessions, and operational updates.

Requirements

Education and Experience 

  • High school diploma or equivalent required; Associate’s degree preferred.
  • 0–2 years of experience in administrative support, project coordination, data processing, customer service, or related operational roles preferred.
  • Experience supporting virtual meetings, scheduling, document management, or transaction processing activities is desirable.
  • Familiarity with federal grant environments or grant processing operations is a plus.

Compensation and Benefits 

The projected compensation range for this position is $23.49/hr - $29.31/hr benchmarked in the Washington, D.C. metropolitan area. The salary range provided is a good faith estimate representative of all experience levels. Salary at LCG is determined by various factors, including but not limited to role, location, the combination of education/training, knowledge, skills, competencies, certifications, and work experience.
