What We Need

We’re looking for a compassionate and sharp Operations Manager / Scheduler who thrives

on:

- Putting the right caregiver in the right place at the right time — the first time

- Communicating calmly and clearly with families, field staff, and leadership (even in a

storm)

- Tracking schedules, responding to call-offs, and turning chaos into calm

- Working in-office (not remote) and being the nerve center of our operations

- Making people feel seen, supported, and served well


What You’ll Actually Be Doing

- Owning and updating the master schedule (CareSmartz360) daily

- Managing call-offs and shift changes using our Communication Escalation Tree

- Coordinating onboarding, meet-and-greets, and caregiver-first shifts

- Liaising with clients during onboarding and with caregivers for shift expectations

- Supporting recruitment and managing a ready-to-work caregiver pool


-Take after hours calls 1-2 weeks in a month

- Logging, tracking, and reporting on scheduling metrics and caregiver performance

- Collaborating with our Virtual Assistant and field preceptors

- Enforcing SOPs, accountability, and excellence — with grace and clarity

Requirements

- Must have previous experience in scheduling, operations, or health care coordination

- Background in home care or healthcare is highly preferred

- Must have excellent phone/email communication skills

- Must be comfortable with tech platforms (Google Suite, CRM tools, Slack/Chat)

- Must be able to work full-time on-site in Bolingbrook-8:30am to 5pm

- Must pass a background and drug test

- Must have reliable transportation
