Mr. Handyman of Racine County is seeking an experienced Office Professional & Service Dispatcher with a strong, proven background in residential or commercial construction. In this critical role, you will serve as the operational backbone of our business—managing technician schedules, dispatching field staff efficiently, collaborating seamlessly with off-site virtual assistants, translating complex job scopes into accurate over-the-phone estimates, and keeping essential administrative paperwork running smoothly.

Key Responsibilities

  • Schedule Dispatching & Logistics: Efficiently build, optimize, and manage daily routes and schedules for our Service Professionals to maximize job completion and minimize drive time.
  • Technician Management & Support: Act as the primary office liaison for field staff via phone and Microsoft Teams—answering scope questions, resolving job site roadblocks, and reallocating resources in real time.
  • Virtual Assistant Coordination: Collaborate directly with our Virtual Assistant (VA) team on daily intake, administrative workflows, and operational communication to keep office functions seamless.
  • Customer Estimates & Inquiries: Leverage your construction expertise to evaluate customer project descriptions, clarify scopes of work, and provide accurate rough pricing or bids over the phone.
  • Administrative & Financial Paperwork: Oversee essential daily administrative documentation, including tracking Accounts Receivable (A/R), processing customer payments, and managing completed job paperwork such as NSP (National Service Provider) sign-off sheets and compliance forms.
  • Clear Customer Expectations: Communicate effectively with customers regarding arrival windows, project timelines, and scope requirements to ensure a seamless service experience.
  • System Management: Maintain precise records and job status updates across our scheduling and job management software.

Qualifications

  • Proven Construction Background: Strong, practical knowledge of residential repairs, carpentry, drywall, plumbing, electrical, and general remodeling scopes.
  • Dispatching & Administrative Expertise: Experience coordinating field crews, managing service routes, handling office logistics, and managing accounts receivable/billing paperwork.
  • Team & Virtual Coordination: Strong ability to communicate effectively with remote/virtual assistants and remote team members to keep tasks moving forward smoothly.
  • Tech & Software Proficiency: Proficient with Microsoft Teams, Microsoft Office (Excel/Word), and web-based scheduling/job management software.
  • Estimation Capability: Confident in assessing job requirements and delivering phone estimates/bids.
  • Communication & Leadership: Excellent phone demeanor, professional written communication skills, and the confidence to support field technicians effectively.
  • Requirements: 8+ years of office or customer-facing experience, local residency, and ability to pass a background check.
