The main difference between a Virtual Assistant Engineer and a Virtual Assistant lies in their skill sets and work focus. Virtual Assistant Engineers typically have technical certifications and work on software development or engineering projects, while Virtual Assistants handle administrative and support tasks. Both roles are remote and serve different industry needs, with the Engineer role requiring more technical expertise.

Is VA still in demand?

Virtual Assistant Engineers, or VAs, are in ongoing demand as remote work and online business operations grow. They often require skills in communication, organization, and familiarity with productivity tools, making them valuable in various industries. The demand is expected to remain steady with the increase in remote and flexible work arrangements.

How does a Virtual Assistant Engineer typically collaborate with cross-functional teams to improve virtual assistant performance?

Virtual Assistant Engineers regularly work with product managers, UX designers, and data scientists to enhance the capabilities and user experience of virtual assistants. Collaboration often involves participating in sprint meetings, sharing data insights, and integrating user feedback into system improvements. This teamwork ensures the virtual assistant remains accurate, responsive, and aligned with evolving business needs. Effective communication and openness to iterative feedback are essential for success in this collaborative environment.

Can you be a VA with no experience?

Virtual Assistant Engineers or VAs can often start with little to no experience, as many roles focus on basic administrative tasks, communication skills, and familiarity with tools like email and scheduling software. However, having some knowledge of relevant software, organization, and time management can improve job prospects and performance.

What are the key skills and qualifications needed to thrive as a Virtual Assistant Engineer, and why are they important?

To thrive as a Virtual Assistant Engineer, you need strong programming skills (often in Python, Java, or C#), experience with AI and NLP technologies, and a degree in computer science or a related field. Familiarity with platforms like Amazon Alexa, Google Assistant, dialog management systems, and cloud-based development environments is typically required. Excellent problem-solving, communication, and teamwork abilities help you collaborate effectively and design user-friendly voice or chat interfaces. These skills ensure you can build, deploy, and refine intelligent virtual assistants that enhance user experiences and meet business objectives.

Can you make 10k a month as a virtual assistant?

Earning $10,000 a month as a virtual assistant engineer is possible but uncommon and typically requires advanced skills, specialized services, high-paying clients, or working with multiple clients simultaneously. Most virtual assistants earn between $15 and $50 per hour, so reaching that income level often involves building a strong reputation, offering niche expertise, or scaling your business. Achieving this income may also depend on your experience, efficiency, and the demand for your services.

Is AI going to replace virtual assistants?

AI technology can automate certain tasks performed by virtual assistants, such as scheduling and data management, but it is unlikely to fully replace the role. Virtual assistants still require human skills like communication, problem-solving, and personalized service, making their roles valuable alongside AI tools. Many virtual assistant engineers work on integrating AI with human workflows to enhance productivity.

What are Virtual Assistant Engineers?

Virtual Assistant Engineers are professionals who design, develop, and maintain virtual assistant technologies, such as chatbots and voice-activated AI systems. They work with artificial intelligence, natural language processing, and machine learning tools to create digital assistants that understand and respond to user input. Their responsibilities may include coding backend logic, integrating APIs, and continually improving the assistant's performance based on user interactions. Virtual Assistant Engineers often collaborate with UX designers, data scientists, and product managers to deliver seamless user experiences.

Job description

About Ontrac Solutions

At Ontrac Solutions, we partner with elite organizations to build digital products, platforms, and experiences that operate at scale.

We are looking for a UX Designer with conversational AI and Microsoft Copilot experience to support a high-profile customer experience initiative. This role is ideal for a designer who can work independently, facilitate stakeholder alignment, and create thoughtful voice and chat-based experiences that balance user needs, business goals, and technical feasibility.

Role Overview

The UX Designer will be responsible for creating user-centered conversational experiences across voice and text-based virtual assistant channels. This person will partner closely with product teams, developers, and cross-functional stakeholders to design intuitive, effective, and scalable conversational flows.

The ideal candidate has experience designing for conversational AI, Microsoft Copilot products, IVR, voice interfaces, and chat-based experiences. They should be comfortable creating wireframes and prototypes in Figma, facilitating workshops, and translating complex requirements into clear user journeys, flows, dialogs, and interaction specifications.

This role also requires someone who can operate independently, communicate clearly with both technical and non-technical stakeholders, and help mentor or guide less experienced designers when needed.

Key Responsibilities
  • Collaborate with product teams, engineers, and cross-functional stakeholders to understand user needs, business objectives, and technical requirements.
  • Design conversational experiences for voice, chat, and virtual assistant products.
  • Create journey maps, user flows, wireframes, prototypes, sample dialogs, and detailed interaction specifications.
  • Use Figma to develop wireframes, prototypes, and design artifacts for stakeholder alignment and delivery.
  • Facilitate design workshops, proposal discussions, and alignment sessions with internal teams and business stakeholders.
  • Build thoughtful, user-centered conversational flows that support customer, patient, and professional-facing use cases.
  • Evaluate usability, consistency, and performance across customer journeys and conversational experiences.
  • Support conversation tuning using qualitative and quantitative data.
  • Create recording scripts, maintain prompt catalogs, and ensure adherence to established persona and voice guidelines.
  • Participate in testing to ensure applications function as designed.
  • Apply human-centered design methods to frame problems, identify patterns, uncover opportunities, and visualize possible solutions.
  • Stay current on conversational AI, voice interaction design, Microsoft Copilot, and emerging UX best practices.
  • Mentor or support less experienced designers when appropriate.
Required Qualifications
  • 35 years of relevant UX, interaction design, conversational design, or related experience.
  • Experience designing conversational experiences, including voice, chat, virtual assistants, or IVR applications.
  • Hands-on experience with Microsoft Copilot or related Microsoft AI/productivity tools.
  • Proficiency creating wireframes, flows, and prototypes in Figma.
  • Strong understanding of the Software Development Life Cycle, and experience working with product and engineering teams.
  • Experience creating user flows, wireframes, prototypes, sample dialogs, and interface specifications.
  • Ability to facilitate workshops, proposal discussions, and stakeholder alignment sessions.
  • Strong communication, organization, and leadership skills.
  • Ability to work independently in a remote environment.
Preferred Qualifications
  • Bachelor's degree in Human-Computer Interaction, Linguistics, Cognitive Science, Graphic Design, Digital Communications, Computer Science, Engineering, or a related field.
  • Experience with IVR application design.
  • Experience with speech recognition software, voice interfaces, or multimodal speech interfaces.
  • Knowledge of speech and language technologies, including:
    • Automatic Speech Recognition
    • Natural Language Understanding
    • Voice User Interfaces
    • Chat-based conversational design
  • Deep understanding of VUI design patterns and principles.
  • Experience designing voice personas based on research, user demographics, and brand guidelines.
  • Experience supporting enterprise-scale conversational AI or customer experience platforms.
Tools & Systems
  • Microsoft Copilot
  • Figma
  • SDLC
  • IVR platforms
  • Voice and chat-based virtual assistant tools
  • Conversational AI systems
Ideal Candidate Profile

The ideal candidate is a highly organized, independent UX Designer who has experience designing conversational AI experiences and can confidently partner with product, engineering, and business stakeholders.

They should be comfortable facilitating discussions, creating clear design artifacts, and helping teams align around user-centered voice and chat experiences. Strong candidates will bring both hands-on Figma skills and a practical understanding of how conversational design fits within enterprise product development.
