Job description

Administrative Support Lead

Join USfalcon and lead a mission-critical program supporting the Air Force Nuclear Weapons Center (AFNWC) and USSTRATCOM. The Administrative Support Lead will be the operational backbone for senior leadership, driving the success of Advisory & Assistance Services (A&AS) across critical Business, Engineering, and Cybersecurity sectors. This is a high-visibility, classified mission that will enable the success of our nation's most complex IT and mission programs.

JOB SUMMARY: The Administrative Support contractor will provide comprehensive staff support to ensure efficient program management for senior managers and organizational staff. Responsibilities include research, documentation, meeting coordination, travel support, and maintaining communication flow to keep leadership informed of mission-related issues. This role is critical for enabling smooth operations and supporting organizational initiatives.

ESSENTIAL DUTIES:

  • Research and compile information for projects and topics; prepare clear, concise, and coordinated written communications.
  • Keep leadership informed of issues impacting the Directorate's mission.
  • Monitor progress on taskings and initiatives; provide background information for program events.
  • Draft documents for leadership approval and signature; disseminate policy and guidance.
  • Coordinate, document, and support meetings and conferences, including scheduling and setup for physical and virtual meetings.
  • Prepare background materials, invite participants, and ensure meeting documentation (attendance logs, minutes, action items) is filed per policy.
  • Maintain scheduling documents and requirements for video/online conferencing, including equipment setup instructions and maintenance logs.
  • Provide travel planning and execution support; serve as Non-DTS Entry Agent (NDEA) and perform CBA reconciliation (permission level 4).
  • Ensure compliance with DoD travel and financial management regulations.
  • Meeting & Conference Oversight: Lead the scheduling, setup, and execution of both physical and virtual meetings. This includes managing invitations, preparing background materials, and maintaining conference room equipment logs.

REQUIRED QUALIFICATIONS:

  • 10+ years of experience providing administrative or executive-level support in a DoD or government environment.
  • Strong organizational skills with ability to manage multiple priorities and deadlines.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and virtual meeting platforms (Teams, Zoom, etc.).
  • Experience preparing official correspondence, meeting agendas, minutes, and action tracking.
  • Knowledge of DoD travel systems and processes (DTS, CBA reconciliation).
  • Excellent written and verbal communication skills.
  • Organizational Skills: Proven ability to manage multiple competing priorities and monitor long-term taskings until completion

PREFFERED QUALIFICATIONS:

  • Experience supporting senior leadership engagements and high-level meetings.
  • Familiarity with DoD Financial Management Regulation (DODFMR) and travel policies.
  • Prior experience in AFNWC/NCC or similar DoD organizations.
  • Ability to work independently and maintain confidentiality in sensitive environments

EDUCATION/CERTIFICATION: Bachelor's Degree; additional years of experience may be used in lieu of education.
