ARC is looking for a talented Total Rewards Specialist to join our team! In this role you will administer and support Total Rewards programs by providing guidance to employees on program eligibility, coverage, and related inquiries. You will serve as a liaison between employees, vendors, and internal stakeholders to ensure timely resolution of questions and effective delivery of services. You will maintain Total Rewards documentation, including benefit records, compliance data, plan materials, and vendor agreements. You will support the review and analysis of Total Rewards programs, leveraging HRIS and vendor systems to maintain accurate information and improve processes. You will contribute to the efficient and effective operations of the Total Rewards function while ensuring programs support organizational goals and objectives.
What You'll Get to Do:
  1. Serve as the primary point of contact for Total Rewards employees by ensuring the accurate processing and approval of new hires and life event changes in the HRIS. Maintain and update Total Rewards resources on SharePoint and Mercer to provide current information for employees, managers, and the P&C team. Manage the Total Rewards shared mailbox, responding to employee inquiries and resolving issues or escalating as needed. Coordinate retiree open enrollment activities while ensuring accuracy and compliance.
  2. Administer Total Rewards financial and vendor processes by reconciling benefit invoices, validating enrollment activity, and ensuring accurate payment of vendor invoices. Process benefit deductions for each pay period and communicate payroll changes to ensure accurate employee deductions. Monitor 401(k) and HSA vendor reports, updating HRIS records and coordinating with Payroll as needed. Perform monthly reconciliations to verify participant eligibility, premium collections, and vendor payments, ensuring data accuracy and compliance.
  3. Lead the day-to-day administration of Total Rewards programs by managing benefit plans and leave administration processes, including annual open enrollment, medical, dental, vision, voluntary benefits, paid time off, 401(k), EAP, FMLA, COBRA, and commuter benefits. Coordinate planning activities, monitor program effectiveness, and support the implementation and ongoing administration of benefit programs. Serve as the primary contact for third-party administrators, ensuring accurate data exchanges, timely issue resolution, and collection of required documentation to support compliant benefit administration.
  4. Administer ARC's wellness program by managing program operations, vendor relationships, and employee communications. Serve as the primary contact for the wellness vendor, Virgin Pulse, to coordinate program activities and resolve issues. Partner with internal communications to develop and implement engagement campaigns that promote employee awareness and participation.
  5. Administer 401(k) compliance and reporting activities by coordinating milestone training, annual audits, and year-end true-up reconciliations. Partner with the 401(k) provider and benefits broker to ensure timely completion of required documentation, accurate records, and appropriate supporting materials.
  6. Serve as the primary administrator for FMLA, ADA, and new hire WorkFlex tracking processes. Evaluate and process requests in accordance with established guidelines, maintain accurate documentation, and coordinate communication with employees, managers, and internal stakeholders to ensure effective program administration.

You'll Bring These Qualifications:
  • Bachelor's Degree preferred; equivalent work experience considered
  • 4 years of progressive HR experience with a focus on compensation and benefits administration, including vendor management experience
  • Ability to manage changing priorities, multiple deadlines and competing demands
  • In-depth knowledge of health and wellbeing benefit plans, ACA, HIPAA, COBRA, FMLA, ERISA, 401(k) and applicable regulations required
  • Knowledge of the impact of total rewards programs on company financial metrics
  • Must be detailed oriented, accurate, and able to maintain high levels of confidentiality
  • Proficient in Microsoft Office (Excel, Word, PowerPoint, SharePoint)
  • Proficient in use of HRIS systems, including running queries and accessing and manipulating employee data
  • Self-starter with strong written and oral communication and consultative skills
  • Ability to effectively communicate at different levels within and outside the company
