Location: HQ - Williamsburg, Brooklyn

Status: Full-time / 100% on-site

Compensation: $65,000 - $70,000 annually

Position Summary: The VIP Associate plays a critical role in managing day-to-day operations across VIP initiatives, including project timelines, budgets, seeding logistics, and cross-functional communications. This position is responsible for cultivating and maintaining VIP relationships through database management and talent identification, while supporting the seamless execution of gifting programs, brand partnerships, and high-profile activations. Working in close collaboration with the Marketing, Events, and Partnerships teams, the ideal candidate is highly organized, detail-oriented, and skilled at managing multiple priorities to deliver elevated, on-brand experiences.

RESPONSIBILITIES

  • Support end-to-end VIP project management for brand partnerships and marketing activations, monitoring timelines, budgets, and cross-functional communications to ensure all deliverables are met on schedule.

  • Manage all seeding logistics including product ordering, package fulfillment, shipment tracking, and coordination with Operations, Production, and the warehouse to meet send-out deadlines.

  • Support VIP hospitality trips and brand events by managing RSVPs, travel arrangements, and guest details including sizing, dietary restrictions, and product gifting.

  • Support with on-site execution for events and other activations.

  • Maintain a confidential VIP database, flag talent for relevant projects, and develop opportunity decks for new and existing talent to support strategic relationship growth.

  • Partner with the external PR agency on guest lists, seeding lists, and press activations.

  • Own all recap decks following activations and events, and track and manage the overall VIP department budget.

  • Monitor VIP social engagement to inform seeding and partnership strategies.

REQUIREMENTS

  • Bachelor's Degree required.

  • Minimum of 3 years experience in a VIP, public relations, marketing or an adjacent industry.

  • Strong organizational skills, with high attention to detail.

  • Ability to multitask, in fast-paced environment.

  • Self-led use of discretion and confidentiality.

  • Ability to operate with strong sense of ethics, in work and personal relationships.

  • Ability to and love of travel, domestically and internationally.

  • Willingness to work flexible schedule.

  • Advanced knowledge of G-Suite (G-Mail, Google Sheets, Google Docs).

  • Advanced knowledge of Office 365 (PowerPoint, Excel).
