About the role
D-Wave is seeking a highly organized, proactive, and resourceful Executive Assistant to join our Executive Administration Team. Reporting to the Chief of Staff, you will provide exceptional support to two members of our Executive Team - the SVP of Global Government Relations & Public Affairs and the VP of Government Business Solutions - and their leadership teams within a fast-paced, mission-driven environment.
As a trusted partner, you will play a critical role in enabling executive effectiveness through seamless coordination, executive readiness, and clear communication across internal and external stakeholders. You will operate with a high degree of autonomy, anticipating needs, managing competing priorities, and ensuring leaders are well prepared for meetings, travel, and strategic initiatives.
As part of the Executive Administration Team, you will contribute to key organizational initiatives, leverage modern collaboration tools, and help drive operational excellence across the Government team. This role is ideal for an experienced Executive Assistant who thrives in dynamic environments, enjoys supporting senior leaders, excels at building relationships, and is motivated by enabling teams to perform at their best.
What you'll do
Executive & Operational Support:
  • Provide comprehensive support to two executives, including complex calendar management, multi-time-zone scheduling, travel coordination, expense management, and executive correspondence.
  • Anticipate priorities, maintain organized records and shared resources, and ensure smooth day-to-day operations across the Government team.

Meeting & Executive Readiness:
  • Coordinate executive meetings by preparing agendas, briefing materials, presentations, and supporting documentation.
  • Capture decisions and action items, drive follow-up, and ensure executives are prepared for leadership, customer, and strategic meetings.

Executive Communications & Stakeholder Coordination:
  • Serve as a trusted point of contact for internal and external stakeholders, facilitating effective communication and representing the executives with professionalism and discretion.
  • Build strong cross-functional relationships to support collaboration across teams, partners, and customers.

Projects, Process & Enablement:
  • Coordinate initiatives and special projects through research, analysis, progress tracking, and cross-functional collaboration.
  • Drive efficiency by leveraging collaboration tools and continuously improving executive administration processes.

About You
  • 10+ years of experience supporting senior executives, including experience working remotely across multiple time zones.
  • Experience supporting executives within Aerospace, Defense, Government Contracting, Public Affairs, Government Relations, or working with policymakers in Congress or the U.S. Administration.
  • Exceptional organizational and time management skills, with the ability to manage multiple priorities in a fast-paced environment.
  • Clear, concise written and verbal communication skills, with exceptional attention to detail and professionalism.
  • Demonstrated ability to exercise sound judgment, maintain strict confidentiality, and handle highly sensitive information with discretion.
  • Strong proficiency with Microsoft Office (Word, Excel, Outlook, PowerPoint, SharePoint) and experience using collaboration, project management, HRIS, and other enterprise systems.
  • A proactive, solutions-oriented mindset with the ability to anticipate needs, take initiative, and solve problems independently.
  • Proven ability to build strong relationships with executives, stakeholders, vendors, and external partners.
  • Experience working within multinational organizations and collaborating effectively across teams and regions.

The anticipated salary/hourly wage range for this position is noted below. Actual compensation will be determined based on a variety of factors including a candidate's experience, skills, qualifications, work location, and alignment with the responsibilities of the role.
