PetVet Care Centers' Veterinary Referral Associates is currently seeking Internal Medicine Veterinary Receptionist (Care Coordinator) to join their team!

Position Overview

Join our team as a Care Coordinator who contributes to the success of a high-performing organization committed to delivering superior care and exceptional service. Performs a range of administrative and customer service tasks, providing valuable support to the hospital. Within the veterinary field, this position aligns closely with roles often titled Veterinary Receptionist, Customer Service Representative, or Client Care Specialist.
Veterinary Referral Associates in Gaithersburg, MD has earned national recognition as one of the most established and respected specialty veterinary and emergency hospitals in the country — seeing cases from across Maryland and as far as Pennsylvania, with 24/7 emergency care available without an appointment every day of the year including holidays. The hospital is AAHA-accredited and offers an extraordinary breadth of specialty services including dermatology, internal medicine, oncology, surgery, diagnostic imaging, feline radioactive iodine hyperthyroid therapy, and a board-certified veterinary criticalist for life-threatening conditions

Key Responsibilities

  • Provides excellent customer service in-person, over the phone, and during high-stress situations.
  • Manages lobby flow, addresses concerns, calms distressed owners, and schedules appointments.
  • Handles basic medical emergencies for pets and owners, ensuring safety and well-being.
  • Assists with medication pickups, inquiries, and provides information about services and products.
  • Inputs and manages data in practice management software, including billing and accounts.
  • Assists with retail sales, weighing pets, processing faxes, and maintaining records.
  • Reconciles cash drawer and performs end-of-day duties for accurate financial transactions.

Qualifications (Required)

  • Applicants must be 18 years of age or older to be considered for this position
  • High school diploma or equivalent.
  • Prior experience in a veterinary hospital is required.
  • Minimum of 2 years of experience in fast-paced customer service, preferably in the veterinary/medical field.
  • Proficiency in working with high-volume multi-line phone systems.
  • Familiarity with common veterinary medical terminology and the ability to recognize signs and symptoms indicative of emergency patient conditions.

Preferred Skills (Nice to Have)

  • Excellent communication and client service skills with proper phone etiquette.
  • Strong team-oriented work approach.
  • Accurate handling of financial transactions.
  • Organized, and people-oriented.
  • Demonstrates sound decision-making and multitasking abilities in high-stress environments.
  • Comfortable working with animals.
  • Experience with Idexx Cornerstone software is a plus!

Schedule:

  • Monday-Friday, 8-hour shifts.
  • There will be an initial 90-day training period of various shift rotations which may include mornings, evenings, and weekends.
  • Regular schedule after training will be: Monday-Friday, 8-hour shifts.
  • Please note that shift schedules may change based on business needs, and you will be notified of any schedule adjustments in advance.
