Job description

Founded in 1881 by the Sisters of the Holy Names of Jesus and Mary, the Academy of the Holy Names is an independent, Catholic, coeducational elementary school and a college preparatory high school for young women.
Employment Opportunity: The Academy of the Holy Names seeks an Advancement Associate. The role reports to the Director of Advancement. This is a full-time, 12-month salaried position, Monday through Friday, with occasional weekend and evening assignments. Dedicated attention is given to the weeks preceding the end of the calendar year and the fiscal year, when giving activity is brisk.
Position Summary: The Advancement Associate plays a vital role in managing gift activity for all fundraising initiatives and constituent communications. This position requires discretion around donor information, a high degree of computer literacy, and the ability to collaborate with the Advancement team members on various projects.
Key Responsibilities: Responsibilities include, but are not limited to:
• Owns and oversees all giving activity through prompt gift entry, recording backup, and preparing/mailing gift acknowledgements promptly.
• Processes recurring and matching gifts
• Prepares and distributes pledge reminders
• Reconciles with AHN Business Office regularly
• Manages online giving pages and forms, website, digital tools (i.e., Venmo)
• Provides weekly tracking report and other gift reports
• Maintains data health of constituent records. Monitors/ensures accuracy of data flowing from school; updates salutations, constituent roles, codes, and attributes; merges duplicate records
• In collaboration with the Director of Special Events, records and acknowledges gala and golf tournament fundraising (i.e., sponsorships, ticket sales, donations)
• Prepares mailing lists and name tags
• Assists with the preparation and execution of the gala presentation
• Provides data entry for Gala's silent auction
• Assists the Director of the Annual Fund with the President's Annual Report data
• Assists the Alumni Director with class notes, births, weddings, and deaths for Accord
• Maintains the Advancement department's shared calendar
• Maintains agendas for weekly Advancement meeting
• Enters Advancement events on the school calendar
• Collects and distributes office mail daily
• Build proficiency with CRM (to serve as departmental lead)
• Manages office supplies and stationery ordering
• Facilitates venue/catering needs for Advancement retreats and special meetings
• Provides backup to the Business Office for the annual audit
• Participates in professional development opportunities and the annual Advancement summer retreat
• Support additional Advancement initiatives and events, as needed
• Updates donor signage on campus, as needed
• Conducts prospect research, as needed
• Manage facilities requests and organization, as needed
Required Skills and Qualifications
• Proficiency in the Microsoft Office Suite (Word, Excel, PowerPoint)
• Experience with donor management systems preferred (e.g., VeraCross, Raisers Edge)
• Strong interpersonal, organizational, and relationship-building skills
• Excellent written and verbal communication skills
