POSITION SUMMARY


The Worship & Production Operations Manager at Cherry Hills Community Church provides operational leadership and ministry coordination for the Worship and Production ministries by translating ministry vision into actionable plans and ensuring excellence in day-to-day execution. This role oversees ministry operations, event logistics, planning processes, communication, vendor relationships, and resource stewardship to support worship services, rehearsals, seasonal events, and special ministry initiatives. Serving as the primary operational liaison for the Worship and Production ministries, this position partners with church departments, school personnel, vendors, volunteers, and ministry leaders to coordinate ministry needs and facilitate successful ministry experiences. Success in this role enables Worship and Production leadership to focus on shepherding teams, developing ministry, and advancing strategic priorities while ensuring exceptional operational support for staff, volunteers, and guests.


ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Lead the operational planning and coordination of the Worship and Production departments by translating leadership vision and direction into actionable plans, timelines, assignments, and measurable next steps.ย 
  • Proactively anticipate the operational needs of the Worship and Production departments by maintaining forward-looking planning processes and ensuring ministry initiatives, rehearsals, services, and seasonal events are prepared well in advance.ย 
  • Coordinate the operational planning and execution of worship services, rehearsals, seasonal experiences, special projects, and Worship and Production support for church and school events, ensuring excellence and alignment with departmental priorities.ย 
  • Serve as the primary operational liaison for the Worship and Production departments, partnering with internal ministries and departments, school personnel, vendors, and ministry partners to coordinate Worship and Production needs, facilitate communication, and support successful ministry experiences.ย 
  • Manage departmental calendars, planning schedules, space reservations, and operational workflows, ensuring priorities, resources, and ministry commitments remain organized and aligned with leadership direction.ย 
  • Facilitate departmental planning processes by documenting key decisions, translating priorities into actionable assignments, managing project workflows, tracking progress through project management systems, and ensuring timely follow-through and accountability.ย 
  • Develop and manage timely, professional communication for volunteers, contract musicians, vendors, and ministry partners, ensuring clear expectations, consistent follow-through, and a welcoming representation of Cherry Hills Community Church.ย 
  • Evaluate requests impacting the Worship and Production departments by assessing scheduling, operational requirements, available resources, and ministry priorities, coordinating solutions within established leadership direction, and elevating matters requiring leadership review or approval.ย 
  • Coordinate relationships with contract musicians, vendors, service providers, and ministry partners by managing communication, scheduling, agreements, hospitality, and operational support while supporting approved ministry initiatives.ย 
  • Oversee operational readiness for Worship and Production events by coordinating production support, space reservations, equipment, transportation, hospitality, and facility needs to ensure seamless ministry experiences.ย 
  • Monitor Worship and Production ministry expenditures, process invoices, reconcile financial documentation, maintain budget tracking, and support responsible stewardship of approved ministry resources.ย 
  • Research products, services, vendors, and ministry resources, providing recommendations that balance ministry objectives, approved budgets, and responsible stewardship while coordinating approved purchases and agreements.ย 
  • Support weekend services, rehearsals, and special events by serving as the operational point person for the Worship and Production departments, proactively resolving logistical needs and ensuring staff, volunteers, vendors, and ministry partners are equipped for successful execution.

SUPERVISORY RESPONSIBILITIES

  • No direct supervisory responsibility.

Requirements

EDUCATION and EXPERIENCE

Required

  • Minimum 3 to 5 years of experience in operations, administration, project coordination, event management, ministry support, or a related field.ย 
  • Demonstrated experience coordinating multiple projects, priorities, and stakeholders simultaneously.ย 
  • Experience exercising sound judgment, discretion, and independent decision-making within established organizational guidelines.ย 
  • Experience managing operational details, schedules, communications, and administrative processes with a high degree of accuracy and follow-through.ย 

Preferred

  • Bachelor's degree in Business Administration, Nonprofit Management, Ministry Leadership, Communications, Event Management, or a related field.ย 
  • Experience supporting a church, nonprofit, educational institution, or ministry environment.ย 
  • Experience coordinating budgets, invoices, purchasing processes, contracts, or vendor relationships.ย 
  • Familiarity with worship ministry, production environments, or church operations.ย 
  • Musical background or experience working alongside worship ministries.

QUALIFICATIONS and COMPETENCIES

  • Demonstrated ability to exercise discretion and independent judgment regarding ministry operations, planning priorities, resource allocation recommendations, and event coordination.
  • Strong project management and organizational skills with the ability to anticipate needs, establish priorities, and manage multiple initiatives simultaneously.
  • Proven ability to build collaborative relationships across departments while maintaining alignment with ministry priorities and leadership direction.

  • Familiarity with Planning Center Online, Monday.com, Church Community Builder (CCB), or similar ministry and project management platforms preferred.
  • Demonstrated commitment to responsible stewardship of ministry resources, budgets, and church assets.
  • Proficient in Microsoft Office Suite (e.g., Word, Excel, Outlook, Teams); able to utilize standard tools for documentation, communication, and task coordination.
  • Demonstrate proficiency with common office technologies, including email, printers/copiers, shared drives, and organizational software platforms; able to troubleshoot basic issues and learn new tools quickly.
