The Role

We are seeking an experienced Legal Biller to join our Woodcliff Lake office on a part-time basis (15–25 hours per week). The Legal Biller owns the firm’s billing cycle from time entry review through invoice submission and collections follow-up, with a heavy emphasis on electronic billing to insurance carriers and corporate clients through third-party e-billing platforms. This position works closely with the firm’s partners, attorneys, and paralegals, and reports directly to the firm’s equity partners.

This is a hands-on role for someone who understands how insurance defense billing actually works: outside counsel guidelines, UTBMS task and activity codes, budget and rate approvals, appeal of reduced or rejected entries, and the practical differences between the many e-billing platforms carriers use.

Responsibilities

•     Prepare, review, and finalize monthly and interim invoices for defense litigation matters in accordance with each client’s outside counsel billing guidelines

•     Submit invoices through client e-billing platforms and monitor each submission through acceptance, including resolving rejections and formatting errors

•     Review attorney and paralegal time entries for compliance with client guidelines, proper UTBMS/LEDES coding, block billing, and narrative quality, and flag entries for revision before submission

•     Track invoice reductions and appeal short-pays and write-downs with supporting documentation

•     Set up new matters in the billing system and on client e-billing platforms, including rate approvals, timekeeper approvals, and budget submissions

•     Monitor accounts receivable, prepare aging reports, and follow up on outstanding invoices with clients and carrier billing contacts

•     Maintain accurate billing records, matter budgets, and client-specific rate schedules

•     Prepare billing reports and realization analysis for firm management

•     Serve as the firm’s point of contact for billing questions from attorneys, staff, clients, and carrier billing departments

•     Assist with year-end billing, collections, and related administrative tasks as needed

Qualifications

•     Minimum of three years of legal billing experience, preferably in an insurance defense or civil litigation firm

•     Working knowledge of insurance carrier and corporate outside counsel billing guidelines, UTBMS codes, and LEDES invoice formats

•     Proficiency with law firm billing and practice management software (experience with Tabs3 is a plus)

•     Strong attention to detail and the ability to catch guideline violations and coding errors before an invoice goes out

•     Comfortable working independently, managing multiple deadlines, and communicating directly with attorneys and client billing contacts

•     Proficiency in Microsoft Excel, Word, and Outlook

Schedule, Location, and Compensation

•     Part-time: 15–25 hours per week, with flexibility as to how those hours are scheduled

•     Based in our Woodcliff Lake, New Jersey office; hybrid and remote work arrangements are available depending on circumstances

•     Salary is commensurate with experience
