Visiting Nurse Association of Central Jersey Community Health Center (VNACJ CHC) offers comprehensive, community based, preventive, primary care and wellness services for New Jersey residents of all ages at four convenient locations. CHC health care services are designed to meet the specific needs of the entire family – from annual check-ups and immunizations to sick visits, mental health counseling and critical prenatal care.
Position Summary:Â
The Medical Assistant/Vaccine Coordinator provides both clinical and administrative support within the medical team as a member of the interdisciplinary care team. This role is responsible for assisting providers with direct patient care while also assisting in coordinating and overseeing the Community Health Center’s immunization and vaccine programs, including Vaccine for Children (VFC) and private vaccine inventory, under the direction of the Nurse Manager. The position supports high-quality, compliant, and patient-centered care across all CHC sites.
Principal Responsibilities:
Clinical & Patient Care Responsibilities
Assist providers with patient throughput from prep to completion of visit, rooming, intake, and maintaining accurate clinical records in accordance with standard operating procedures.
Execute clinical orders and perform related duties, including phlebotomy, EKGs, and immunizations, as directed.
Maintain laboratory proficiency, documentation, and required logs.
Coordinate and document medications, medical supplies, referrals, and prior authorizations.
Provide direct patient care as a Certified Medical Assistant at any site based on staffing and scheduling needs.
Provide or facilitate language interpretation as appropriate to maintain patient flow.
Vaccine Program Coordination Responsibilities
Assist with managing vaccine inventory for both private and VFC stock, ensuring appropriate storage, handling, and documentation.
Maintain vaccine refrigerators and freezers, including temperature monitoring, data logger downloads, labeling, and equipment functionality.
Maintain vaccine log books, temperature logs, inventory records, and NJIIS documentation at the assigned CHC sites.
Coordinate NJIIS data entry, troubleshooting, and compliance activities.
Order vaccines through appropriate channels in coordination with the Nurse Manager and VFC requirements.
Coordinate and support all CHC sites through VFC site surveys, including on-site participation as needed.
Ensure vaccine rooms remain clean, organized, stocked, and compliant with regulatory standards.
Training & Collaboration
Ensure new and existing Medical Assistant staff receive all required training related to vaccine administration, NJIIS, EHR systems, and vaccine policies.
Facilitate orientation and ongoing competency development for Medical Assistant staff related to immunizations.
Communicate updates, policy changes, and system enhancements related to vaccines clearly and effectively to staff.
Act as a liaison to resolve vaccine-related issues and communicate effectively with management.
Support teamwork and foster positive, professional relationships across all internal and external interactions.
Compliance, Safety & Professional Standards
Adhere strictly to agency infection control, safety, and quality assurance policies.
Follow organizational policies regarding attendance, punctuality, appearance, and professional conduct.
Maintain reliable attendance and wear identification badge at all times.
Perform other duties as assigned that are similar, related, or logically associated with this role.Â
Job Competencies & Minimum Qualifications:
High School diploma or GED
Medical Assistant Certificate from an approved school, current certification via an approved body
Two years of medical assistant experience
Experience with EHR, VFC and NJIIS
Excellent verbal and written communication skills
Excellent organizational, time management and multi-tasking skills with attention to detail
Excellent customer service and client services philosophy in all interactions
Strong interpersonal skills with the ability to work collaboratively
Valid New Jersey Driver’s license
Working Conditions/Physical Demand: Working indoors with telephone, copier, fax machine, computer, printer, centrifuge, electric exam table, glucometer, nebulizer, needles/syringes, oxygen equipment, personal automobile, scales, sphygmomanometer, stethoscope, thermometer, venipuncture equipment, and wheelchair.
