Job Summary
Xavier University of Louisiana is accepting applications for the position of Academic Records/VA Certification Specialist. This role serves as the Veterans Affairs (VA) Certifying Official and Point of Contact for Military Tuition Assistances programs. Responsible for transcript processing and serve as the point of contact for the National Student Clearinghouse. This position also assists with daily operations in the Registrar's Office. AA/EOE
Minimum Qualifications
  • Bachelor's degree
  • Minimum 2-3 years' experience working in a university setting or service-oriented environment or student service office.
  • Excellent communication, organizational, interpersonal, and telephone skills are essential.
  • Proficient in using computers, internet, Microsoft Office (Word, Excel, and PowerPoint)
  • A strong work ethic and self-motivated
  • Must be able to deal with the confidentiality of student records.
  • Must be results oriented and have the ability to perform multiple tasks efficiently
  • Strong organizational and customer service skills
  • Proven ability to adapt to change
  • Team-oriented with a willingness to collaborate with others
  • Effective oral and written communication skills
  • Ability to respond to inquiries via phone, email and in person
  • Must be responsible, dependable, motivated, and willing to work under pressure in a multi-task environment
  • Ability to learn policies and procedures
  • Ability to demonstrate problem-solving skills as well as pay close attention to details
Preferred Qualifications
Preferred Qualifications:
  • Experience working in Records Office and
  • Experience with education benefit programs for veterans, active-duty military, and spouses/dependents.
  • Working knowledge of VA Enrollment Manager web-based platform preferred along with various other VA benefit portals.
  • Working knowledge of systems used to process Tuition Assistance Benefits (TA) for soldiers
  • Working knowledge of BANNER or similar SIS system

Full time.Weekends and Evenings may be required for events related to work of the office or the division of Enrollment Management

Bachelor Degree required. Ability to learn University SIS system BANNER, VA Enrollment Management System and any software related to duties and responsibilities. Applicant should be proficient in the use of Microsoft Excel and Word. Knowledge of VA Chapter Education Benefits is preferred.
Essential Duties and Responsibilities
Essential Duties and Responsibilities Description
  • Serve as the university's VA Certifying Official for students receiving education benefits through the Department of Veteran Affairs (VA)
  • Enter VA Certification via the Enrollment Management System
  • Track and submit updates on VA student enrollment using Banne and Enrollment Manager
  • Maintain required level of training per VA requirements by engaging in the training opportunities designed to enhance the understanding of the VA's various educational benefits, certification process and the responsibilities of and support offered by the VA
  • Process Veteran students using ArmyIgnited (Formerly GoArmy Ed)
  • Responsible for all aspects of Transcript Processing which is contracted through a 3rd Party vendor, the National Student Clearinghouse
  • Registrar's Office day to day functions which may include answering the phones, data entry or student record updates and providing general information
  • Student Readmission Processing for students who have separated from the university and now desire to return
  • Banner Document Management System Processing
  • Registration related responsibilities
  • Graduation related responsibilities
  • Other duties as assigned
