The Department of Obstetrics & Gynecology (OBGYN) at the University of Virginia supports a dynamic and growing research enterprise and is committed to excellence in research administration, compliance, and operational support.
The Department seeks a motivated and detail-oriented Research Administration & Proposal Development Administrator to support pre-award activities and research administrative processes. This role works closely with faculty, investigators, and research teams to support proposal development, budgeting, research system coordination, and study start-up activities.
This position is located in Charlottesville, VA. A hybrid work schedule may be available after a training period based on performance and operational needs.
Annual compensation ranges from $60,000 - $62,000.
- Provide professional-level financial and administrative support for clinical trial and research operations.
- Prepare and manage clinical trial financial schedules and support accurate study budgeting and tracking.
- Process study invoices, including internal and external billing, and manage accounts receivable activities.
- Monitor outstanding balances and follow up on receivables to ensure timely payment and financial accuracy.
- Support Epic billing review processes to ensure appropriate charge capture and reconciliation.
- Support pre-award research administration activities, including proposal and budget preparation and submission through institutional systems (e.g., Huron) and coordination with the Office of Grants and Contracts. (OGC submissions, Huron proposal + budget submission)
- Develop study budgets and funding proposals and communicate with investigators regarding grant timelines, requirements, and submission deadlines. (PI communication on timelines/deadlines)
- Support post-award financial management for sponsored and non-sponsored accounts in compliance with sponsor and institutional policies.
- Perform regular account reconciliations, identify discrepancies, and assist with resolution.
- Prepare financial reports for investigators and departmental leadership to support ongoing financial oversight.
- Maintain accurate financial records within institutional systems.
- Process financial transactions, including purchasing, expense reimbursements, journal entries, and cost transfers, in accordance with policy.
- Collaborate with investigators, research teams, and central offices to support budget monitoring, payment reconciliation, and grant management.
- Assist with financial components of award setup, including coordination of agreements (e.g., CDA, DUA, consulting agreements) and creation of financial workstrings. (CDA, DUA, consulting agreements, temp workstring)
- Monitor grant lifecycles, including proactive management of expirations, no-cost extensions (NCE), and internal routing processes. (NCE, RG process, grant expiry management)
- Serve as a departmental resource for research finance processes and participate in collaborative initiatives as needed.
- Other professional administrative duties as assigned.
MINIMUM REQUIREMENTS:Education: Bachelor's Degree or combination of education and related experience in lieu of a degree required.
Experience: 3+ years of relevant experience required.
Licensure: None
PREFERRED EXPERIENCE:- Clinical research administration experience, including IRB processes, human subjects regulations, CTA review, and study start-up/closeout activities.
- Experience with UVA systems such as Huron, Workday Financials, OnCore, and Epic.
REQUIRED SKILLS:- Strong problem-solving and organizational abilities.
- Ability to work effectively in a multidisciplinary team environment.
- Proficiency in Microsoft Office and Adobe products.

PHYSICAL DEMANDS: This job requires extensive computer work, patient interaction, and the ability to traverse the footprint of the UVA medical center. Occasional travel to other UVA clinics. The job does occasionally require traveling some distance to attend meetings and programs.
