The Opportunity:

The Space Administration department within Facilities and Business Operations is seeking a Space Utilization Coordinator I. This role supports institutional decision-making by coordinating the collection, integration, and analysis of campus space data to optimize facility utilization. The Coordinator works across multiple systems and data sources to maintain accurate space inventory records, support reporting and planning efforts, and enhance the university's ability to strategically manage and allocate space resources.

Responsibilities:

Space Inventory & Data Management

  • Coordinate annual campus-wide space data collection, including personnel location and space assignments.

  • Maintain and update the university's space inventory to ensure data accuracy across systems.

  • Collect, validate, and integrate data from multiple sources to support utilization analysis.

  • Track and manage space inventory across university-owned, leased, and shared facilities.

  • Conduct building surveys throughout campus, including walking facilities, climbing stairs, taking measurements, bending, reaching overhead, and documenting room conditions.

Auditing, Analysis & Planning

  • Support audits and verification efforts to assess scheduled versus actual space usage.

  • Collaborate with stakeholders to gather requirements and support space requests and planning activities.

  • Analyze utilization trends to inform space planning recommendations and solutions.

Reporting & Process Improvement

  • Prepare reports and documentation for institutional, state, and internal space reporting needs.

  • Apply space policies and recommend process improvements to enhance data quality and utilization tracking.

Minimum Qualifications:

Bachelor's or Master's degree and 2+ years of relevant experience or an equivalent combination of education and experience pursuant to Fla. Stat. 112.219(6).

Preferred Qualifications:

  • Experience supporting space management, facilities planning, or campus operations functions.

  • Demonstrated experience working with data analysis, reporting, or database management.

  • Experience supporting audits, surveys, or compliance-related reporting processes.

  • Proficiency in Microsoft Excel or similar tools for data tracking, analysis, and reporting.

  • Experience preparing reports, dashboards, or documentation used for operational or strategic decision-making.

  • Background coordinating projects, data collection efforts, or cross-functional initiatives.

  • Hands-on experience with space or facilities systems (e.g., AiM, Archibus, EMS, or similar platforms).

  • Experience working with CAD software, floor plans, or facilities drawings.

  • Demonstrated ability to manage multiple priorities and maintain accurate records in a detail-oriented role.

Special Instructions to the Applicants:

The anticipated salary range for this position is $48,722 - $59,684. The final salary will be determined based on the candidate's qualifications, experience, and internal equity considerations.

Schedule may vary based on events and business needs, including evening and weekend coverage.

Position requires a valid Class E driver's license. This position may involve driving to various locations on and off campus to conduct University business.
