Job description

Mail Distribution/Duplication Clerk The City of Alexandria is located in Northern Virginia and is bordered by the District of Columbia, the Potomac River, and Arlington and Fairfax counties. With a population of approximately 150,000 and a land area of 15.75 square miles, Alexandria is the seventh-largest city in the Commonwealth of Virginia. If you are interested in working for the vibrant City of Alexandria, we invite qualified candidates to apply for our Mail Distribution/Duplication Clerk position. An Overview Under general supervision, the Mail Distribution/Duplication Clerk performs skilled work operating and maintaining high-speed printing, finishing, postage, and related equipment. Responsibilities also include operating and cleaning equipment, clearing jams, and adding toner and paper.

Assists City employees with mail preparation, including sorting and postage, and delivers USPS, inter-office mail, and parcels to appropriate City offices. What You Should Bring The ideal candidate should have good knowledge of the operation of high-speed copier and finishing equipment; working knowledge of the quality and texture of supplies and materials used in duplication work; the ability to customize and prepare documents as permitted by the equipment; and the ability to troubleshoot and clear paper jams as needed. Ability to analyze, interpret, and apply USPS postal and shipping rates.

Extensive knowledge of USPS postal regulations pertaining to special delivery, registered, insured, certified mail, and other specialized categories of mail. Excellent organizational, verbal, and written communication skills. Physical ability to lift and carry heavy cartons and mail trays up to 50 pounds, with or without accommodation, and the ability to follow verbal and written instructions.

Demonstrated proficiency in the use of technology and computers, including Word, Excel, Adobe Acrobat, standard mailing procedures software packages, and parcel tracking packages. The Opportunity - Examples of Work Operates high-speed copiers with different paper weights and standard sizes to produce copies; Scans and digitizes forms and documents as requested; Compiles data for monthly charge-back billing of print and copy requests by agencies; Distributes copier supplies to satellite duplication sites and other agencies as required, including the delivery of copier paper; Sorts and distributes U.S. Mail; processes outgoing and inter-office mail; Receives, processes, and distributes parcels and expedited deliveries; Conducts daily mail deliveries to locations in Alexandria and Northern Virginia; Extracts data and compiles information for daily postage reports to ascertain the available balance in postage meters; Performs related work as required

The Department of General Services staff strives to provide our customers with unmatched services by proactively managing the City's assets to support the delivery of services to the City of Alexandria, responding to service requests in a timely manner, listening to our customers, and ensuring that our customers are satisfied with the resolution. Minimum & Additional Requirements High School Diploma or GED; completion of high-school-level courses in arithmetic and English; one year of experience in the operation of duplication and copier equipment; or any combination of experience and training which provides the required knowledge, skills and abilities to perform the job; possession of a valid driver's license issued by the state of residence; ability to lift and carry heavy cartons and mail trays.

Preferred Qualifications Minimum of three (3) years of relevant general office experience, duplication and/or printing experience, mailroom experience, or similar experience in a mailroom or office environment; knowledge of postal regulations preferred. Strong initiative required; ability to work independently with minimal direct supervision. Working knowledge of Microsoft products, including but not limited to Outlook, Word, Excel, and Adobe Acrobat.

Must possess the ability to lift objects up to 50 pounds, with or without accommodation, and the ability to stand for long periods of time. Notes This position requires the successful completion of pre-employment background checks, including but not limited to drug testing and a criminal background check. The Department of General Services (DGS) is a first-response department, and as such, all DGS employees are deemed essential or emergency personnel and may be required to report to work when the City government is open with liberal leave or closed during emergencies.

The Mail Distribution/Duplication Clerk position is covered by the collective bargaining agreement with the AFSCME Local 3001.
