Job description

Position: Staff Accountant

Reports to: Controller

Summary

Plan, organize, and administer assigned accounting functions. Process AP/AR and collections, financial reporting, and facilitation of other accounting functions as assigned.  Actively participate in day-to-day performance of internal business operations. 

Key Tasks and Responsibilities

Accounts Receivable:

  • Log payments in all required systems and prepare daily bank deposits.
  • Prepare documents for invoicing.
  • Prepare and send daily invoices.
  • Facilitate collections; inquire with customers about payment status.
  • Prepare and mail all requested monthly statements.
  • Make deposits as needed.
  • Perform reconciliation of daily bank statement.
  • Perform credit inquiries and set up for all new accounts.

 

Accounts Payable:

  • Review invoices from vendors for accuracy and completion and perform data entry to generate USP payment to vendor.
  • Send applicable vendor invoices to third party processor for automated entry into computer system.
  • Maintain vendor invoice files.
  • Vouch non-purchase order related invoices to proper G/L accounts.
  • Receive inventory, create invoices and process vouchers for all direct ship orders.
  • Issue and send checks to accounts deemed payable via check and ACH.
  • Prepare and file monthly sales tax reports with applicable states.
  • Prepare various daily, weekly, monthly, annual reports as needed.

Shipping Charges- quality check

 

  • Review freight charges to USP from shipping companies and cross check with freight charged to customers.

Qualifications

  • Education and experience commensurate with Bachelors or Associates degree in Business Administration, Finance, or related field
  • Minimum two years of experience in Finance/Accounting and Office Administration
  • Prophet 21 software experience preferred but not required.
  • Able to maintain confidentiality of sensitive information
  • Skilled at gathering, organizing, and developing complex financial data and reports; strong attention to detail in completing work
  • Results-oriented with proven ability to organize, plan, and prioritize work to meet deadlines
  • Ability to collaborate and show a “can do” attitude at work
  • Communicates effectively across all organizational levels with management, employees, vendors, and customers; strong writing and creative problem-solving skills
  • Bottom-line oriented with strong financial aptitude
  • Proficient at utilizing relevant business software including Microsoft Office, Word and Excel and other applicable software.
  • Uses strong analytical and systems focus to create and improve Accounting processes and procedures.
  • Strong work ethic, decisive, ambitious, with an unwavering commitment to quality and professional work
