The Manoa Faculty Senate seeks a GA to support its Information Systems Modernization Project that is transforming the Manoa Faculty Senate's operations by creating web-based integrated self-service digital tools for enhanced governance, accessibility, and efficiency; track and streamline workflow; automate operations; and support data-driven faculty decision-making for the betterment of Manoa for students, faculty, and staff. Duties and Responsibilities:
1. Design, deploy, and maintain the Faculty Senate's RAG (Retrieval-Augmented Generation) knowledge base chat system to enhance information accessibility.
2. Manage and optimize the Senate's WordPress website, ensuring content accuracy, security, accessibility, maintain plugins and overall maintainability.
3. Architect and maintain the Senate Collaboration Platform, focusing on streamlining online management tools (e.g. committee referral tracking).
4. Assess existing information systems for efficiency and scalability, maintainability, providing actionable and cost-effective recommendations for technology upgrades.
5. Contribute to documentation of tools and information systems.
6. Streamline Senate business processes by identifying opportunities for automation and implementing efficient, scalable workflows.
7. Design and maintain data dashboards for Senate committees to track critical issues and improve reporting transparency.
8. Oversee the annual faculty census file, ensuring data integrity, and optimize internal data tools (e.g., rosters, listservs, Google Workspace drives).
9. Develop and implement data extraction and transformation pipelines to support automated reporting and data-driven decision-making.
10. Organize and curate active Senate documents and archives, including digitizing and integrating relevant materials from the Hamilton Library into the knowledge base.
11. Provide technical and operational support for Senate and committee meetings, including managing virtual platforms (e.g., Zoom).
12. Assist with day-to-day operations including intake and tracking of issues, scheduling committee activities, and promoting efficient operations.
13. Perform other duties as assigned to support the mission of the Faculty Senate.
Minimum Qualifications:
1. Current enrollment in a graduate degree program (Master's or PhD) at the University of Hawai'i at Manoa, maintaining a minimum 3.0 GPA and satisfactory academic progress.
2. Demonstrated experience in comprehensive website and web application testing, troubleshooting, and quality assurance and improvement.
3. Background in user experience (UX) design, with an ability to enhance interface usability.
4. Proficiency with utilizing and customizing Google Workspace and collaborative cloud-based tools.
5. Strong written and verbal communication skills, with the ability to facilitate effective user training and support.
6. Demonstrated ability to work independently, manage project timelines, and consistently meet deadlines.
Desirable Qualifications:
1. Advanced knowledge in Software Engineering, Data Science, or Information Systems Management.
2. Demonstrated experience with generative AI frameworks and infrastructure, specifically Retrieval-Augmented Generation (RAG) systems.
3. Experience in developing, implementing, troubleshooting, and customizing information system tools to address organizational workflows.
4. Experience in developing automated workflows, data dashboards, or project tracking tools.
5. Demonstrated proficiency in modern web application development and WordPress site maintenance.
6. Experience with data extraction, transformation, and scraping methodologies to support automated data gathering and reporting.
7. Familiarity with principles of shared governance, democratic decision-making, or academic administrative processes.
