Job Summary:

The Staffing Coordinator ensures that clinical departments are appropriately staffed to provide optimal patient care. This role involves creating staff schedules, managing shift coverage, assisting in the recruitment process, and maintaining compliance with staffing regulations. The ideal candidate is highly organized, proactive, and familiar with the unique staffing needs of a healthcare setting.

Key Responsibilities:
  • Develop and manage daily, weekly, and monthly schedules for clinical staff including nurses, CNAs, and allied health professionals.

  • Monitor staffing levels to ensure compliance with patient-to-staff ratios and regulatory requirements.

  • Coordinate with department heads and nursing supervisors to fill open shifts and resolve scheduling conflicts.

  • Maintain up-to-date records of employee credentials, licenses, availability, and shift preferences.

  • Respond promptly to last-minute call-offs, absences, or increased census demands by reallocating or recruiting staff as needed.

  • Assist HR in recruiting clinical staff by posting job openings, reviewing applications, and scheduling interviews.

  • Track and report staffing metrics, including overtime, agency usage, and vacancy rates.

  • Ensure proper orientation scheduling for new clinical hires in collaboration with the education department.

  • Maintain confidentiality and professionalism when dealing with sensitive employee and patient information.

  • Use staffing and scheduling software (e.g., Kronos, Smartlinx, ShiftWizard) to manage staffing operations efficiently.

Qualifications:
  • High school diploma or GED required.

  • 2+ years of staffing or scheduling experience in a healthcare setting (hospital, long-term care, or clinic).

  • Knowledge of healthcare regulations and staff credentialing requirements.

  • Strong organizational skills with the ability to manage competing priorities.

  • Proficient in Microsoft Office Suite and scheduling software.

  • Excellent interpersonal and communication skills, especially under pressure.
