Accounts Payable Specialist – Manage Construction AP, Vendor Relations, & Financial Compliance


Job Overview:

The Opportunity:

We are seeking a versatile Accounts Payable Specialist to join our tight-knit team in a fast-paced construction office environment. In this role, you will play a critical part in maintaining financial accuracy across our active regional job sites, balancing vendor relationships, job costing, and key administrative workflows within our non-corporate, supportive workplace.


How You You Will Make an Impact:

  • Process high-volume accounts payable invoices, accurately allocating expenses directly to specific construction project cost codes.
  • Prepare and execute weekly check runs, ensuring timely distributions and proper invoice matching.
  • Reconcile monthly vendor statements and proactively resolve billing variances, unpaid invoices, and account inquiries.
  • Collect, review, and post company credit card transactions while completing monthly credit card statement reconciliations.
  • Request, track, and secure vendor lien waivers to protect project integrity and support billing cycles.
  • Maintain vendor compliance files, including obtaining updated W-9 forms and processing annual 1099 filings.
  • Handle critical monthly administrative tasks, including processing union dues, making bank deposits, and tracking subcontractor/vendor insurance policies.
  • Assist with DOT compliance tracking and support cross-functional office operations as needed.


Required Qualifications & Experience:

  • Minimum 3 years of accounts payable experience within the construction industry.
  • Strong understanding of basic accounting principles and construction cost allocation (job costing).
  • Advanced proficiency in Microsoft 365 applications, with a strong emphasis on Excel, Outlook, and Word.
  • Demonstrated experience using specialized construction accounting software.
  • High degree of integrity, strong organizational skills, and the ability to manage competing deadlines independently.
  • Excellent communication skills for handling internal and vendor inquiries with confidentiality and professionalism.


Preferred Qualifications & Experience:

  • Associate or Bachelor’s degree in Accounting, Finance, or Business Administration.
  • Understanding of overall project execution workflows (budgeting, project forecasting, and profitability tracking).
  • Direct experience with Department of Transportation (DOT) compliance records.
  • Background working with union dues processing and subcontractor compliance.
