Job description

Receptionist | Customer Care Associate

We're looking for a friendly, organized, and polished Receptionist/Customer Care Associate to join us at our corporate office in St. Charles, Illinois. You'll be the first hello for customers and visitors (in person and on the phone), and a go-to helper for keeping day-to-day operations on track. Your primary responsibilities will include receptionist activities and you'll be trained on customer care activities as time allows.

Key Responsibilities:
  • Greet and welcome visitors and customers
  • Answer and direct incoming calls to the appropriate departments
  • Communicate with facilities department to maintain our corporate office
  • Oversee the cleanliness, organization, and overall appearance of the office and kitchen areas by monitoring supplies, restocking as needed, coordinating cleaning services, and ensuring common areas are welcoming and well-maintained for employees and visitors
  • Reconcile monthly expenses for the customer care department
  • Manage mail distribution
  • Organize meetings, schedule facility tours, room setup, and order lunches
  • Handle customer inquiries and provide information about products and services
  • Monitor the customer care email box, route messages to the right teammates, and follow up as needed
  • Process and track customer orders to ensure timely and accurate delivery
  • Set up new customers in our systems and help keep customer information accurate and up to date
Qualifications:
  • High school diploma or equivalent; additional education/certification in office administration is a plus
  • Proven experience as a receptionist, customer service representative, or similar role
  • Excellent verbal and written communication skills
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook)
  • Strong organizational and multitasking abilities
  • Friendly and professional demeanor
  • Ability to handle sensitive and confidential information with discretion
  • Customer-focused with a proactive approach to problem-solving

Our business hours are 8 am to 5 pm Monday through Friday. This is a fully onsite role in St. Charles, Illinois.
