This is a newly created role supporting a growing data center construction project. As the on-site administrative hub for the project team, you'll help keep operations running smoothly through document control, meeting coordination, site logistics, office management, and administrative support for project managers, engineers, and superintendents.
 
This opportunity is ideal for someone who is highly organized, proactive, and enjoys being the go-to person for a busy team. Construction experience is helpful but not required—Sabey is looking for someone with strong administrative skills, a positive attitude, and a willingness to learn and grow.

About This Role 

Based full-time at the Umatilla jobsite, this role serves as the administrative backbone of the project team. Working from the construction site office, you will help ensure day-to-day operations run efficiently by supporting document management, coordinating communications, organizing logistics, and serving as a key liaison between the Umatilla project team and Sabey’s Seattle headquarters. 

This opportunity is ideal for an organized and proactive professional who enjoys variety in their workday, thrives in a collaborative environment, and is energized by supporting large-scale construction projects. You'll work closely with project leadership, subcontractors, vendors, and corporate teams to help keep critical project activities moving forward. 

Your Contribution Will Likely Include 

  • Setting up and maintaining the jobsite office, including supplies, equipment, and filing systems  
  • Serving as the primary point of contact for office-related needs and inquiries at the project site  
  • Managing incoming correspondence, deliveries, and visitors  
  • Coordinating jobsite onboarding activities, including badges, parking access, and required documentation  
  • Preparing and distributing reports, meeting minutes, and project communications  
  • Supporting document control processes and maintaining accurate project records  
  • Assisting with purchase orders, expense tracking, credit card documentation, and material procurement records  
  • Maintaining project tracking logs, including rental equipment, labor reports, change orders, and security badges  
  • Organizing and maintaining electronic filing systems and project documentation  
  • Scheduling and coordinating meetings, conference calls, travel arrangements, site visits, team events, and other project activities  
  • Attending construction meetings, documenting key discussions, and distributing meeting notes  
  • Collaborating with project stakeholders, subcontractors, vendors, and internal teams to support successful project execution  
  • Assisting with contract administration activities, including subcontracts, change orders, purchase orders, professional service agreements, material supply agreements, non-disclosure agreements, and closeout documentation  
  • Reviewing subcontractor invoices for compliance with contract requirements  
  • Embodying Sabey’s core values in all interactions and responsibilities  

Experience You Will Bring 

  • 3+ years of administrative experience, preferably within the construction industry  
  • Strong organizational skills with exceptional attention to detail and accuracy  
  • Ability to prioritize multiple responsibilities and adapt in a fast-paced project environment  
  • Proficiency with Microsoft Office applications, particularly Excel  
  • Experience with document management, project tracking, and administrative coordination  
  • Experience with Yardi is a plus  
  • Strong written and verbal communication skills  
  • Ability to build positive working relationships with employees, clients, subcontractors, and business partners  
  • Self-motivated with the ability to work independently and manage competing priorities  
  • Aptitude and willingness to learn and utilize AI tools and emerging technologies

Compensation 

The anticipated annual base salary range for this position is $48,235 - $72,352.
