Job description

Primary Job Duties: The Group Travel Planner manages all the logistical planning and implementation of our trips. This position communicates and works with all vendors to ensure the accurate implementation of contracts. The Travel Planner works with and gathers information from group leaders regarding passengers counts and information. The position also prepares materials for employees traveling with our passengers.

Maintain trip files (2-4 departures each month) by ensuring accuracy of contracts, costings, and computer data; adhere to deposit schedules and make all appropriate payments; monitor, adjust, and report room allotments; arrange and coordinate all itinerary activities and meals

· Work with all vendors on the trip

· Further develop or secure venues for trip itineraries.

· Communicate with the client throughout the trip planning process.

· Develop all passenger information and documentation and send to passengers

· Prepare all materials for the Travel Director and prep that person for the trip prior to departure

· Reconcile all financial aspects of trips in database; including vendor accounts, and payment documentation.

· Work effectively with other departments to ensure clients receive a great travel experience

Minimum Skill Requirements:

  • Ability to balance many projects and tasks
  • Detail oriented
  • Strong organization and time management skills
  • Excellent verbal and written communication skills
  • Travel industry or event planning experience preferred (not required)
  • Ability to negotiate and work well in a fast-paced environment
  • Working knowledge of computers (Excel and Word); required to learn and effectively work in proprietary database
  • College degree preferred
