Summary: MSI operates a rapidly growing private fleet across the United States and is seeking a highly organized, detail-oriented Transportation Associate to support the day-to-day administrative functions of the Transportation Department. This entry-level position is ideal for someone with strong organizational skills, excellent follow-up abilities, and a desire to grow within transportation and fleet operations.
The Transportation Associate will assist with fleet compliance, recordkeeping, and communication with branch personnel and vendors across 54 locations. The successful candidate will be proactive, dependable, and capable of managing multiple priorities in a fast-paced environment.


Work Hours: Monday to Friday from 08:00 AM to 05:00 PM, 1 Saturday(s) a month from 08:00 AM to 12:00 PM

Compensation: This hourly, non-exempt position pays from $22 to $25 per hour, with overtime compensated at 1.5 times the base rate. New hires usually earn between $59,000 and $65,000 annually, or more, depending on experience, overtime hours, and bonuses.


To perform this job successfully, the individual must be able to complete the following essential duties and responsibilities

  • Provide administrative support for transportation and fleet operations across 54 MSI locations.
  • Maintain accurate fleet records, vehicle files, registrations, permits, and compliance documentation.
  • Monitor transportation inboxes and respond to inquiries from branches, vendors, and internal departments.
  • Assist with monitoring completion of vehicle maintenance, telematics installations, recalls, and other fleet-related services.
  • Enter, audit, and maintain data within fleet management systems.
  • Support vendor management activities including obtaining quotes, tracking service requests, and maintaining vendor records.
  • Monitor and track open transportation projects to ensure timely completion and proper follow-up.
  • Assist with fleet compliance initiatives and maintain documentation required for state and federal regulations.
  • Process and distribute incoming transportation-related mail, including vehicle registrations, titles, toll notices, fuel cards, and compliance documents.
  • Coordinate outbound shipments of transportation equipment, telematics devices, decals, fleet documentation, and other materials using UPS and other shipping carriers.
  • Perform additional duties as assigned.

Additionally the candidate must meet the following Education and/or Experience requirements:

  • Exceptional organizational skills with strong attention to detail.
  • Excellent follow-up skills and ability to manage multiple tasks simultaneously.
  • Strong verbal and written communication skills.
  • Proficiency in Microsoft Office, particularly Excel, Outlook, and Word.
  • Ability to learn and navigate multiple software systems and databases.
  • Strong problem-solving and critical-thinking skills.
  • Ability to work independently while maintaining a high level of accuracy.
  • Customer-service mindset with a willingness to support internal and external stakeholders.
  • Previous administrative, logistics, transportation, fleet, or customer service experience is preferred but not required.
  • Associate's or Bachelor’s degree preferred; equivalent work experience considered.
  • Entry-level candidates are encouraged to apply.
  • Previous experience in administrative support, transportation, logistics, fleet operations, customer service, or related fields is a plus.
  • Experience with Microsoft Excel, transportation software, fleet management systems, or compliance tracking is preferred but not required
