Job description

JRK Seed is seeking an organized, customer-focused, and detail-oriented Office Manager to oversee daily office operations and support the sales fulfillment process. This role is responsible for managing customer orders, coordinating shipping and deliveries, maintaining inventory records, supporting production and warehouse communication, and ensuring exceptional customer service from order placement through delivery.
The ideal candidate is highly organized, enjoys working in a fast-paced environment, and has experience in office administration, customer service, inventory coordination, and light bookkeeping.
Key Responsibilities
Sales & Customer Service

  • Process customer orders received by phone, email, internet, fax, and mail.
  • Prepare and provide accurate customer quotes.
  • Handle customer inquiries, returns, refunds, and order concerns.
  • Ensure a positive customer experience throughout the order lifecycle.
  • Invoice customers accurately and in a timely manner.
  • Identify opportunities to improve customer communication, products, packaging, and shipping procedures.
Office Administration
  • Maintain organized office records and filing systems.
  • Coordinate software updates and support office technology needs.
  • Maintain and update production priority logs and spreadsheets.
  • Follow established company procedures for order creation, modifications, invoicing, and documentation.
  • Keep accurate records of transportation requests and delivery schedules.
Inventory & Operations Support
  • Manage product, supply, and consumable inventories.
  • Monitor inventory levels to prevent stock shortages and missed sales opportunities.
  • Verify receipt of incoming supplies and materials.
  • Coordinate deliveries and communicate inventory needs with production and warehouse teams.
  • Ensure production staff are informed of new orders, order changes, and inventory requirements.
Vendor & Financial Support
  • Assist with accounts receivable and light bookkeeping functions.
  • Monitor compliance-related charges and provide documentation to resolve discrepancies.
Leadership & Team Support
  • Manage support office staff.
  • Delegate clerical and administrative responsibilities as appropriate.
  • Identify opportunities to improve efficiency and administrative processes.
  • Provide support to other business operations as needed.
Qualifications
Required
  • High school diploma or equivalent.
  • Experience in office administration, office management, or supervisory roles.
  • Strong organizational and time management skills.
  • Excellent attention to detail and accuracy.
  • Strong customer service skills and professional communication abilities.
  • Ability to work independently and collaboratively in a team environment.
  • Self-motivated with strong problem-solving skills.
Preferred
  • 1+ years experience in an Office Manager role OR 2+ years experience in office administration role.
  • 2+ years of experience using Microsoft Office Suite.
  • Experience with inventory management, sales support, shipping coordination, or office operations.
  • Proficiency with Excel, Google Sheets, and related business software.
