  • Job Title: Maintenance Parts Assistant (Full-time, Non-Exempt)
  • Location: Irvine, CA (On-site only, No remote and hybrid)
  • Working Hours: Monday to Friday, 8:30 AM to 5:30 PM (closed weekends and holidays)
  • Salary: Base: $21 ~$22/H + Bonus + Mileage allowance
  • Benefits: Medical, Dental, Vision, Life and 401K after 90 days probation period
  • Main tasks:Manage domestic and international parts quotations, order processing, shipping, invoicing, inventory control, and customer support for maintenance service operations.
  • Report to: Maintenance Manager


We are currently seeking a Maintenance Parts Assistant for a Japanese Food Service Equipment Distributor. This position is responsible to develop and promote the Company products and services at the designated areas
in order to increase the profit of the company as well as maintaining the existing customer base.

【Customer Service】

  • Make Parts Quotes: Domestic & International.
  • Process the Parts Orders : Domestic & International.
  • Parts Back Orders.
    *To Japan HQ, To Local Vendors
  • Shipping & Invoicing:
    *Domestic-FedEx, UPS, etc
    *International - FedEx, UPS, etc
    *Proforma Invoice for Advance Payment
    *Commercial Invoice
    *Communication with Accounting Team

  • Invoicing for On-site Service (MSR).
  • Cost Transfer Process:
    Make sure all parts costs are transferred to Sales Department
  • Back Order to Japan for restocking the regular parts.
  • Control Ware House & Investigate lost parts.
  • Stocking in our System (Regular-UP & Direct Shipment from Japan).
  • Handling S-Number's Parts (Special Parts).
  • Update the parts information in our System (Price, discontinued, alternatives).
  • Update the customer information in our System (New customer, changing customer data).
  • Handle above demands via Telephone or Emails.


【OTHER & MISCELLANEOUS】

  • Performs special projects and other miscellaneous duties as assigned by management.
  • Reports all irregular issues and problems to management for solution.
  • Maintains good communication with management, other staff members and outside contacts.
  • Complies with all company policies and procedures.

【Qualifications】

  • Associate degree (AA) or Bachelor's degree (B.A.) from two to four years College or university; or equivalent combination of education and experience is preferred.
  • US Driver's license.
  • Authorized to work in the US without visa sponsorship.
  • Language:Japanese and English bilingual
  • Experience: Entry Level, no experience is required. (Training will be provided after hiring)
