We are seeking a detail-oriented Associate Documentation Specialist to support our growing operations team. This role serves as a critical link between sales execution, credit, and funding operations, ensuring accurate and timely preparation, review, and processing of documentation for commercial finance transactions.
The Associate Documentation Specialist is responsible for preparing and reviewing finance documentation, supporting deal flow, ensuring compliance with internal and external requirements, and delivering a high-quality experience for both internal and external customers. This role supports operational efficiency and funding goals through accuracy, communication, and cross-functional collaboration.

Job Duties/Responsibilities:
  • Prepare and coordinate commercial equipment finance and lease documentation packages in compliance with company policies, regulatory requirements, and investor guidelines within established service level expectations
  • Review transaction documentation for accuracy, completeness, and funding readiness while ensuring all required conditions and supporting documents are obtained
  • Partner with internal teams including sales, credit, and operations to support efficient deal flow and timely transaction processing
  • Communicate with customers, vendors, brokers, legal counsel, and internal stakeholders to resolve documentation issues, respond to inquiries, and obtain additional information as needed
  • Coordinate transaction closings and funding activities, including preparation of final documentation, calculation of closing amounts, and funding disbursements
  • Maintain accurate records and documentation within company systems while ensuring a high level of organization and attention to detail
  • Support continuous improvement efforts by identifying opportunities to enhance documentation workflows, accuracy, and operational efficiency

Experience Requirements:
  • Prior experience in commercial finance, equipment leasing, banking, or documentation operations preferred
  • General knowledge of documentation requirements and legal documents related to commercial lending and equipment finance transactions
  • Experience reviewing documentation for accuracy, completeness, and funding readiness
  • Ability to interpret transaction structures and support documentation and funding requirements
  • Proficiency in learning and utilizing multiple systems and software platforms related to documentation and funding processes
  • Basic mathematical and financial calculation skills
