Position Summary:
The Wealth Management Client Administrator partners with the Relationship Manager (RM) and Investment Portfolio Manager (PM) to provide exceptional experiences to high net-worth clients with complex financial needs. This role supports the team through collaboration, effective communication and attention to detail. As a consistent and reliable point of contact, this role provides seamless coordination between clients and the Wealth Management team. The Wealth Management Client Administrator will respond directly to client requests, monitor accounts for cash needs and compliance purposes, and oversee transaction processing.
Essential Duties and Responsibilities:
  • In partnership with the RM, responsible for coordinating account administration, responding to client inquiries, production of action plans and reports, and overseeing transaction processing.
  • Develop and maintain working knowledge of governing documents and account agreements.
  • Receive service requests from clients and team members, communicate to service partners, obtain appropriate information from partners and clients to facilitate service changes or transactions.
  • Oversee development of appropriate action plans for client servicing events and ensures execution and follow-up; if needed, communicates with clients and RMs regularly to inform them of account set-up or status, document requests, or other information.
  • Assist RMs and PMs in all account acceptance and closing processes; participate in compliance management and annual account review process; ensure appropriate documentation is collected; ensure systems information is up to date; ensure accurate set-up and review of funding and account fees.
  • Coordinate with other support areas all account set-ups, fees, distributions, and ongoing account activity. Assist RMs and PMs in monitoring account transactions and overdrafts in accordance with fiduciary policy guidelines. Identifies and promotes internal process improvements.
  • Exhibit appropriate account management. Monitor daily overdraft reports and cash balances and work with partners to prevent overdrafts. Respond to all Administrative Review exception reports on a timely basis. Practice comprehensive file management and ensure that all relevant system records are maintained in accordance with policy.
  • Develop and maintain a working knowledge of various business applications critical to relationship management including client online tools.
  • Coordinate presentation materials with the RMs and PMs.
  • Provide support to the Fiduciary team on Trust and Estate administration matters and communication with trust beneficiaries.

Basic Qualifications:
  • Associate's degree
  • 3 to 5 years related experience in financial services, or equivalent combination of education and experience

Preferred Qualifications:
  • Bachelor's degree
  • Experience in investments, law or accounting
  • Notary Public Certification

Skills and Abilities:
  • Excellent attention to detail and ability to manage multiple priorities
  • Ability to prioritize and complete multiple tasks efficiently and independently
  • Ability to develop an efficient process around tracking and follow-up
  • Ability to read and comprehend instructions, correspondence, and memos and write correspondence
  • Ability to interpret legal documents
  • Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization
  • Basic understanding of accounting, finance, and investment concepts
  • Ability to deal with problems involving several concrete variables in standardized situations

Supervisory Skills:
  • This role has no supervisory responsibilities
