Job description

The Resales Transaction & Home to Sell Coordinator is responsible for performing administrative and office support activities for multiple supervisors to include fielding telephone calls, receiving and directing visitors, word processing, filing, and faxing. This position works with different departments to create collateral for the agents. In addition to the administrative duties, this role is also responsible for meeting with customers, listing/selling homes, and negotiating contracts

Essential Duties and Responsibilities

  • Inputs all listing information into MLS and marketing websites and updates as needed
  • Oversees all aspects of seller transactions from initial contact to execute purchase agreement
  • Manages the client database and transaction management systems
  • Submits all necessary documentation to office broker for file compliance
  • Oversees all aspects of buyer and seller transactions from executed purchase agreement to closing
  • Coordinates the preparation of all listing and open house flyers, graphics, signage and all other marketing materials
  • Coordinates all inbound leads from applicable websites
  • Types contract forms
  • Prepares flyers and promotional information
  • Takes photos & schedules photography of listing properties
  • Installs and/or removes lock boxes from listed homes
  • Informs and reports any incident or accident to the leadership.
  • Prepares reports, memos, and documents and sends outgoing memos, emails, meeting notices and set agendas
  • Forwards incoming general e-mails to the appropriate staff member
  • Backs-up electronic files, hard files using proper procedures
  • Provides administrative support to management and other staff
  • Speaks with customers by phone and in person
  • Schedules showings, and appointments
  • Negotiates listing agreements and sales contracts
  • Prepares Comparative Market Analysis
  • Host open houses

  • May occasionally assist with special events as needed

Education and Experience:

  • High School Diploma or equivalent required, associate's degree preferred
  • 2+ years of receptionist experience in a related industry preferred
  • Real Estate License required

  • Computer skills, including Microsoft Office and internet research abilities, required
